Thompson Engineering is looking for a Project Administrator.Project Administrator provides direct support to the East Unit team of Thompson Engineering. The ability to multitask is essential to the role and the candidate must be self-motivated, professional, and excellent at communicating.The Project Administrator provides proposal and project-related administrative services to Opportunity Managers and Project Managers. This support role leverages your professional skills to support improved time management, focus, and effectiveness of the proposal and project teams.The Project Administrator will work collaboratively with Opportunity Managers and Project Managers as well as proposal and project teams on proposal and project business management system(s) compliance, with support from Unit Manager, Marketing, or Divisional Managers.
Essentially Functions:
Support Opportunity and Project Managers in implementing internal project business management and quality procedures.Assist the Opportunity and Project Managers with creating required entries in BST Opportunity Management and BST Projects.Run Reports to review current project business management system compliance status.Provide opportunity and project compliance needs to the team.Become familiar with our BST system and be able to share requirements withthe teamSchedule monthly project controls meetings and support management approvals including tracking and documenting.Communicate with the proposal and project teams regarding future compliance requirements.Update BST as required with future date changes.Be a resource for Opportunity and Project Managers for questions regarding processes, system requirements and or issues.Support internal project communication as well as proposal and project documentation requirements.Support routine project requirements and deliverables including transmittals, specifications, and document controls.Assist the proposal and project team with creating Project SharePoint sites, managing the data within, and uploading documents to the project SharePoint site.Other Responsibilities:
Attend internal and external project meetings which could include audits.Attend Corporate, Unit, and/or Division monthly meetings.Facilitate change management activities to ensure smooth adoption of new processes and systems.Develop criteria for change with stakeholders, through interviews, workshops and documentation review.Develop and maintain detailed business requirements documents, ensuring clear understanding across technical teams.Collaborate with technical staff to develop and refine solution designs that align with business needs.Minimum Requirements:
High School Diploma or equivalent5+ years of experience in a Project administrative roleMust be knowledgeable of Microsoft Office tools such as Outlook, Word, PowerPoint and ExcelExposure to engineering business is preferred but, not required.Proven Technical writing skills.Good Math skills.Physical Requirements:
Ability to sit for long period of timeAbility to stoop and bend for filingAbility to communicate verbally and writtenMust be able to safely drive a vehicleMust be able to lift and carry up to 25 lbs.About Us
