Responsibilities
Attending recurring meetings and capturing and tracking action items and deliverables.
Maintain the Directors program schedule and assist him also team with calendar management – daily, weekly.
Coordination, submission, and status tracking of tasks, including personnel SCAs, training requests (including the completion of appropriate VA forms).
Facilitating, conducting, delegating, coordinating, tracking, analyzing, validating, carrying out data calls, action items, and VA VIEWs roll-ups, and ensuring the timely submission of all responses.
Keeping the Program Director, customers, and project team informed of the status of assigned projects.
Utilizing the tracking dashboards to track assigned deliverables and ensure all deliverables are on track and submitted on time.
Managing a high volume of meetings and scheduling coordination with internal and external stakeholders.
Serving as a point of contact for the organization for a wide range of inquiries and requests.
Responsible for preparing presentations and validating the accuracy of presentation. material content to ensure highly professional error-free presentations, such as Quarterly All-Hands Meeting, Executive Support presentations.
Providing coordination support for recruitment efforts and pre-acceptance hiring efforts, including coordination and submission of recruitment packages, tracking of HR actions, providing status reports to the hiring manager, scheduling interviews, serving as the point of contact for candidates, coordination with hiring managers, carrying out final selection processes and return certificates on USAJobs per hiring manager’s selections, representing ASO on weekly HRMACS calls and management of recruitment tracking dashboard to keep hiring mangers apprised of status/stage of recruitments; remain up to date on updates and changes to HRMACs and HR processes and procedures.
Coordinating activities for ad hoc requests from internal and external customers.
Maintaining a collaborative environment with key stakeholders.
Developing and maintaining detailed project plans.
Manage distribution lists - add/remove/update members as needed.
Aggregating and submitting recurring reports and updates to divisional leadership.
Ability to prepare reports and documentation for teams SharePoint. Also help in preparing the presentations for client.
Qualifications
Experience working with program management and very proficient with Microsoft Tools. (Ex: Visio/PPT/Excel and SharePoint)
Experience working as an executive assistant is complete plus.
Must be able to work quickly with a senior people with high degree of accuracy in your team hierarchy.
Excellent writing skills and ability to produce polished written products. Prior experience as writer is a plus.
Demonstrated ability and experience using Microsoft Office Suite including Word, PowerPoint, Excel, Visio, and Access.
Nice to have: Knowledge of JIRA and Kanban boards (or) willingness to learn them.
Education
Bachelor’s degree in science (or) Arts and 5+ years’ work experience
Clearance:
The ability to pass a Tier 1/Low Background Investigation
Location:
100% Remote, USA
Monday - Friday (8:00 AM - 5:00 PM EST Time)
Pay Range:
The pay for this position ranges from $47,240 to $69,500
The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, and location
Also, certain positions are eligible for additional forms of compensation, such as bonuses
