About Secretary (OA)

Summary The Secretary (OA) provides assistance to the Chief Medical Service and the Administrative Officer, Medical Service who direct the largest Service in the Veterans' Hospital. The service is divided into eleven subspecialty sections, some of which are further subdivided. Responsibilities Duties include but are not limited to: Scheduling and accepting appointments via Outlook and TEAMS. Communicates with a variety of personnel, leadership and outside contact. Drafts, revises, prepares correspondence, ensuring proper formatting. Maintains office compliance regarding regulations, policies, and guidelines as established. Receives incoming calls from patients, clients, staff, and others in need of information. Serves as a timekeeper. Transcribes and takes meeting notes to prepare minutes. Serves as Records Management Liaison to archive documents as required. Work Schedule: 7:30am- 4:00pm Monday- Friday Virtual: This is not a virtual position. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/26/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: You will be rated on the following Competencies for this position: Examples of specialized experience would typically include, but are not limited to: Schedules meetings and maintains a calendar of appointments. Processes incoming or outgoing mail. Maintains office compliance regarding regulations, policies, and guidelines as established. Receives incoming calls from patients, clients, staff, and others in need of information. Performs office automation work on personal computer utilizing multiple programs to complete documentation. TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience requirements, you must be able to type at least 40 words per minute. Applicants may meet this requirement by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates, by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test. Attention to Detail Communication Conscientiousness Writing Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The incumbent's work is mostly sedentary, but requires some walking, standing, bending, and carrying light items such as medical records, books, and papers. Keen hearing and distinct speech are essential due to extensive use of the telephone as a means of communication. No special physical exertion is required.
