*Vincennes University*Secretary II to the President**Presidents Office
Vincennes University is seeking applicants for a Secretary II to the President. This is a full-time, support staff position located at the VU Main Campus site.
The primary function of the Secretary to the President is to help keep the President and his office operating at a high level of efficiency and competency. The Secretary to the President will do this by maintaining an organized and effective workplace where the President is able to make difficult and critical decisions affecting the university. Individual will also provide invaluable support to both the Administrative Assistant to the President and the President by acting as receptionist to the Presidents Office area by screening and troubleshooting calls and visits from the VU community, assisting with the handling of correspondence and speeches by the President, and managing general areas of the office. Individual must also maintain confidentiality.
Duties and Responsibilities:The individual must possess the necessary skills to complete the following job responsibilities and other duties as may be assigned:**
Act as receptionist for the Presidents Office area by answering, screening, and troubleshooting telephone calls and visits to the Presidents Office. Must have excellent interpersonal skills.
Assist with the correspondence coming into and going out of the Presidents Office. This would include the production of bulk mailings as needed. This may include transcribing from a digital recorder, composing letters, and responding via email.
Assist with the preparation of various reports and miscellaneous typing.
Make all arrangements for Presidents Advisory Committee meetings, which are held 5-6 times during the academic year. In addition, the individual would be responsible for attending these meetings and taking minutes.
Make all arrangements for Continuous Quality Improvement Committee meeting, which are held monthly. In addition, the individual would be responsible for attending these meetings and taking minutes.
Make all arrangements for Diversity, Equity, and Inclusion Committee meetings, which are held bi-monthly. In addition, the individual would be responsible for attending these meetings and taking minutes.
Assist in making arrangements for the quarterly VU Jasper Advisory Committee meetings.
Make all arrangements for the Opening Meeting of the University, which is held in August, just prior to the start of the Fall Semester.
Be available to make arrangements, attend, and take minutes for meetings chaired and/or attended by the President, as needed.
Organize and distribute United Way materials to all employees and help maintain records of employees contributions.
Make all arrangements for Summer and Christmas Holiday parties. Work with Administrative Assistant in regards to budgets for these events.
Organize and coordinate various social events sponsored by the Presidents Office, i.e. Ice Cream Social, Autumn Social, portion of Blazers Give Day
Open all mail and give to Administrative Assistant for processing and distribution.
Purchase all office supplies for the Presidents Office. Purchase soda, coffee, and kitchen supplies for all meetings in the administrative wing.
Take monthly meter readings of copier machine.
Coordinate all requests and approvals for the Campus Guest House.
Coordinate usage of Administration Buildings Conference Room.
