  This is administrative support clerical work performing varied typing, data entry, filing, preparing payrolls, maintaining stock, supporting customers; and reviewing, processing, and maintaining various fees, files, records, legal documents, information, and materials. Work requires a knowledge of office practices and procedures which involve the operation of standard office equipment such as a personal computer, copier, microfilm and microfiche equipment, and calculator and which can be learned on the job within several months. Contacts require courtesy, tact, and effectiveness in dealing with others, and include contacts to request or provide information, ask questions or obtain clarification.

  The work is performed following established routines, procedures and standing instructions, and although patterned, some variation in the sequence and choice of procedures used is permitted based on situations encountered in the workplace. Work is normally performed in an office environment though the employee may be required to deliver or pick up mail, documents, supplies or materials. The physical demands consist mainly of moving from one work location to another, sitting, or standing at a work station for extended periods of time, using standard office equipment on an ongoing basis, and, dependent upon assigned work location, may be required to lift light objects weighing up to 15 pounds. The work is performed under general supervision where the work assignments are subject to instructions and established work routines, and the worker is given latitude to rearrange the sequence based on changing work situations or work flow.

  Examples of Work

  Receives, processes, records, indexes and/or files varied materials, files, documents, fees, and records.

  Gathers information and assists general public in completing required forms and documents.

  Reviews and verifies employee time reports and leave requests and prepares payrolls and maintains leave records.

  Types correspondence, memoranda, reports, records, orders and other office documents from sources such as rough drafts, notes, and other instructions.

  Reviews documents and files for completion and accuracy and routes to proper sources.

  Establishes, retrieves, and maintains records and files.

  Responds to inquiries and complaints from the general public and interprets and explains departmental policies and procedures to customers.

  Enters information or data to personal computer or computer terminal screen following established procedures.

  Maintains files and documents with coding systems, out-cards, tab guides, and other controlling devices.

  Orders supplies and prepares purchase orders.

  Maintains inventory records and stock for assigned work area.

  Makes written reports and fills out forms as necessary.

  Operates standard office equipment such as a typewriter, calculator, personal computer, microfilm and microfiche equipment, and copier.

  Picks up and/or delivers a variety of mail, documents, materials, and supplies which may require operation of a motor vehicle.

  Demonstrates proficiency in the City of Jacksonville Core Competencies.

  Performs related work as required.

  This is seasonal summer employment working April 1 - July 26, 2024

  Monday - Friday: 8 a.m. to 5 p.m.

  Ability to read, write and communicate in English.

  Must have at least a one-year combination of education and/or experience in clerical work.

  Dependent upon assignment must be able to type 40 words per minute.
