Primary PurposeProvide sales, events and administrative support to the Craven County Convention Center Director and the Assistant Director. Work is performed under the general supervision of the Director and the Assistant Director and is evaluated through observation and review of work performed.This person is the first point of contract for telephone, walk-ins, and coordination of all small events.
Essential Functions
Performs administrative duties, event booking, event planning including diagramming and site visits. This person should exude a professional and hospitable attitude.Secures qualified inquiries via telephone, email, or personal contact; handling the inquiries independently.Researching questions to obtain the appropriate answer for the organization. Routes materials according to content of communications; manages filing cabinet and set-ups/maintains files based on the status of the event. Creates weekly/monthly updated report to confirm all upcoming necessary documents to ensure client billing represents all services/products utilized during event.Assists with preparing detailed and outlined event instructions, computer drawings and event preparation sheets and checklists for all events.Work includes answering the telephone, independently drafts and composing correspondence, proposals, leads, contracts, client invoices, weekly/monthly sales reports and forwarding executed contracts to caterers.Responsible for updating Convention Center calendar and website, digital signage, and all social media platforms.Creates and manages placement publications and assignment of scheduled advertising and promotions.Tracks and records data to produce reports with adequate analytics.Meets daily with the Director/Assistant Director to communicate any updates on projects or events at the facility.Follow-ups with client, caterers or vendors based on the status of the event and assists in preparing contracts, event orders and client invoices with supervisors approval.Assists with preparing detailed and outlined event instructions or any other necessary documents to ensure client billing represents all services/products utilized during event.Minimum Education and ExperienceGraduation from a two-year technical or community college with a minimum of 3 years' experience in hospitality, sales, marketing, communication and or customer service or an equal combination of experience and training.
Additional Information
Assist with and maintain Craven County-Riverfront Convention Center media coverage.May also assist in the preparation of annual media and marketing plans, including budget coordination.Will be required to move tables, chairs, linen, props and preparing Food and Beverages and or any other special equipments for scheduled event activities as well as effectively cleaning up with urgency.Must participate in general staff meetings as well as any additional meetings that the Director may deem appropriate.Perform related duties as required.May be required to serve during times of disaster.Knowledge, Skills, and Abilities
Requires hospitality, customer service and clerical experience.Knowledge of computers, and office equipment such as copier, scanner, printer, and fax machine.Should possess a working knowledge of programs such as excel, word, PowerPoint and other programs such as Reserve, Canva and social media platforms management.Must be able to manage a multi-phone line, web research and construct emails.Must be able to perform in a fast-paced manner on various duties and in an event-driven environment.Must be well-organized, punctual, and self-disciplined with the ability to prioritize duties in a timely manner with little supervision; ability to develop and modify work procedures and methods to improve efficiencyEmployee must exercise independent judgment, possess organizational skills, attention to detail, discretion, and initiative in completing assignments on time and being proactive with several different tasks.Ability to deal with people in a pleasant, tactful, and effective manner and establish and maintain effective working relationships with supervisors, and co-workers.Manage and update website and other social media platforms and paid advertising as well as marketing plans based on trends and results.Employee must work flexible hours in accordance with the centers schedule including mornings, evenings nights, weekends, and holidays.Physical RequirementsMust be physically able to operate a variety of equipment, including computers, typewriters, calculators, copiers, fax, etc. Requires the ability to exert up to 30 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or a negligible amount of force to constantly move objects with urgency. Physical demand requirements are in excess of those for sedentary work such walking and standing to a significant degree.
