Description Position Summary: The Retirement Operations Supervisor is responsible for ensuring efficient, accurate, and compliant processing of daily settlement, retirement and health and welfare reconciliation, and dividend processing. This position manages vendors and vendor agreements for trade partners and mutual fund companies. This position will exercise sound judgement and accept, support, and implement continuous change. This position will interact with various levels of management. The Retirement Operations Supervisor will help foster a cohesive team by directing workflow, supporting strong communication and displaying proper judgement and leadership to ensure timely execution of tasks and functions, implement policies and procedures, participate with members of the management team in the planning of ARB. Essential Responsibilities: Job Function 1: Team Leadership & Employee Management- 50% Oversee the day-to-day activities of the Product Support Team. Ensuring productivity and quality standards are being met. Be a resource for the team, understand all team functions and responsibilities in order to successfully back up tasks for team coverage purposes. Deliver coaching, motivation and support to team to ensure timely and accurate execution of daily functions while also meeting regulatory compliance. Identify and pursue process improvements and efficiencies that improve the client experience and reduce expenses. Manage the employee life cycle, including interviewing, hiring, and training staff; conduct regular performance reviews; plan and participate in team meetings, employee appreciation, and team events. Ensure all processes and procedures are appropriately documented. Research and make decisions/recommendations regarding complex or unique requests. Assist with leading department meetings. Facilitate team communication. Job Function 2: Process and Vendor Service and Support - 30% Deliver leadership for new system projects, department initiatives and team processes. Provide quality, accurate and timely responses to inquiries from external and internal clients. Communicate system updates and outages, analyze the system documentation, and propose process changes. Acknowledge and prioritize multiple client demands to provide maximum service to all clients. Serve as subject matter expert on system file creation and movement for all processes, as well as interpretation of data within system generated files. Strong passion for internal and external client satisfaction, creative and consistently maintains a positive attitude. Develop and maintain excellent working relationships with vendors and pursue vendor process improvements and effectively resolve issues, if necessary. Job Function 3: Professional & Personal Development - 20% Expert in utilizing and analyzing core systems. Demonstrate excellent knowledge of regulations, systems and processes that pertain to the department. Actively pursue continuing education, reading, and self-development to enhance knowledge and skills. Complete regulation, compliance, and additional training as assigned. Build excellent working relationships with team members across the enterprise. Maintain up-to-date knowledge of all systems and processes that pertain to the team. Position Requirements: Qualifications: Bachelor's degree in accounting, finance, business administration, or related field. Proven leadership, management and direct supervisory skills. 5 years of extensive recordkeeping/trust experience in operations. Exceptional problem-solving orientation and attention to detail. Strong analytical skills and mathematic aptitude. Ability to facilitate communication between various departments, vendors, and team members. Ability and desire to work in a fast-paced, deadline oriented environment. Personal Characteristics: Strong understanding of retirement products and processes. Highly organized, detail-oriented and able to take initiative when needed. Analytical and problem solving abi ities. Physical Demands - Must be met with or without a reasonable accommodation: Extended periods of time sitting at a desk and using office equipment. Ability to operate a personal computer/laptop for approximately 8 hours per day. Extended time is spent reviewing physical and electronic documents.
