POSITION TECHNICAL RESPONSIBILITIES Customer ServiceResponsibilities: 1. Immediately welcome patients and their familymembers on the phone and in person with a warm greeting. Use thepatient\'s name throughout the encounter, make eye contact and closeevery encounter warmly. 2. Answer the telephone within 20 seconds (4rings) and use the appropriate greeting to include: the clinic, yourname and an offer to assist. 3. Use professional and courteous languageand maintain a positive tone in every encounter with both external andinternal customers. Actively listen to patients to best meet theirneeds, while showing empathy. 4. Keep patients informed of any delays inthe process. 5. Take responsibility for the encounter and receivedcalls, including transfers to internal departments. General Duties 1.Schedule appointments for patients in a friendly, professional mannerutilizing the appropriate provider template to ensure accuracy. 2.Direct phone calls to the appropriate staff or take complete messagesand route them to the appropriate person in a timely manner. 3. Gatherappointment, demographic and insurance information when schedulingappointments. 4. Verify patient demographic and insurance informationupon check-in. 5. Assist patients with completing and signing allrequired documentation and questionnaires. 6. Communicate any requiredpayment due at the time of check in when scheduling. 7. Collect allco-pay and self-pay balance payments. 8. Send all payments and receiptsto business office on a daily basis. 9. Keep current with changes ininsurance benefits. 10. Keep current with all process changes. 11.Maintain confidentiality of patient information. 12. Maintain a neat,clean and professional work area free from food. Keep patient waitingareas cleaned, organized, and with current resource materials. 13. Openand deliver mail daily. 14. Adhere to departmental expectations (i.e.attend required meetings; participate in quality and process improvementprojects, service recovery). 15. Cross train and staff other clinics asneeded. 16. Perform other duties as assigned.
