This position will serve as the Receptionist/Administrative Assistant for Cornell Cooperative Extension Association of Oswego County and will provide support to the organization to include, but not limited to: answering and managing the phone system and related applications, greeting and directing visitors, receiving program fees, database entry, organizing files, storage and supply areas, updating documents, and supporting other support staff and/or educators as needed. This position will also provide support to the Agriculture, 4-H Youth Development, and Human Ecology Program Areas. Program area assignments may change based on Association needs and funding availability. This position will be responsible for the overall clerical support to the assigned programs and program areas; adhering to strict timeframes for reporting purposes and accountability; database management; supporting program area meetings; filing and organizing program materials; creating flyers and brochures; special projects, etc. This position will also provide support for assigned financial tasks for the Association. This position will represent Cornell Cooperative Extension to the general public, community leaders, and government officials in a professional manner. POSITION DETAILS:
This position is a full-time, non-exempt position, 35 hours per week. The hourly rate for this position is $16.90. This position, based on eligibility, offers a comprehensive benefit package, to include: health and dental insurance, NYS retirement, and vacation, sick and personal leave.
Required Qualifications:
High School Diploma or Equivalent Education.
Experience relevant to the role of the position.
Valid NYS Driver’s License and the ability to meet travel requirements associated with this position.
Ability to work flexible hours which may include evenings and/or weekends, as appropriate.
Demonstrated ability to work independently to initiate, organize, and implement established goals.
Preferred Qualifications:
Experience with database management and programs.
Knowledge or ability to learn programs related to website maintenance and newsletter development.
Knowledge of Cashbook, Acumatica and other Accounting software.
Excellent mathematical skills and ability to make computations quickly, accurately and to translate computations into verbal and written reports.
Creativity; strong working knowledge of design and layout of basic publications; and an eye for professional quality production.

POSITION RESPONSIBILITIES:
Administrative Responsibilities:
Coordination/Operation - 95%
Answer telephones and assist or direct calls to appropriate person.
Maintain/coordinate phone system for new and existing employees.
Update and file documents while maintaining a filing system.
Receive program fees.
Greet and direct visitors.
Enter data in various computer programs or into online forms and/or systems.
Provide support to maintain room and vehicle schedules.
Provide support with all correspondence as needed (letters, meeting materials and agendas, etc.).
Record minutes of required meetings, and provide meeting materials as needed.
Maintain program area files and information.
Work with program educators to create program flyers, brochures, educational materials, and other special projects as needed.
Take program registrations as required, track participant attendance, etc. and provide reports.
Provide support for data entry and reporting as needed to comply with grant requirements.
Provide support for Association Operations as needed, to include:
Assistance with records management including shredding and documentation of disposition as needed.
Assistance with marketing initiatives, especially internal communications and marketing to keep all CCE staff aware of programs.
Providing support and training to new staff regarding the phone system, mail system, vans, and equipment sign out.
Maintain/coordinate US mail regulations.
Assist with organizing storage and supply areas as assigned.
Maintain particular Association documents as assigned.
This position will exercise care when utilizing any Association owned property and/or resources while performing position responsibilities.
Professional Improvement and Other Duties as Assigned - 5%
In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes in programming and association priorities.
Collaborate in activities that are in general support of Cornell Cooperative Extension including but not limited to attendance at staff meetings, timely reporting of expenses, working with other staff, general marketing of Extension programs and other duties as assigned.
Participate in required orientation programs; work with supervisor and work team staff to gain pertinent skills and information for specific on-job skills.
Attend relevant in-service education programs.
Health and Safety - Applied to all duties and functions.
Support the Association to maintain a safe working environment.
Be familiar with and strive to follow any applicable federal, state, local regulations, Association health and safety policy/procedure/requirement and standard.
