Tuknik Government Services currently has an opening for a Protocol Officer (PO) in support of the Office of the Secretary of Defense (OSD) Chief Digital and Artificial Intelligence Office (CDAO). Under the direction of the government, the PO will assist with facilitating logistics for foreign visits and senior officers, preparing packages for coordination, and planning international engagements. This position requires experience supporting DoD executive leadership and will work closely with government and contractor personnel across the Department of Defense. The PO will be responsible for ensuring proper execution and protocol in all official international events, activities, and social calls. Diplomatic Protocol refers to the etiquette, meaning the rules, procedures, conventions, and ceremonies related to international and official government relations. The PO will provide planning, logistical, and programmatic support, and will work with the team to organize conferences, meetings, and workshops. Events range in size from small meetings of 5 people to large-scale conferences of 200 people.
Responsibilities:
Assists the international team on coordinating international visits, meetings, conferences, and travel for DoD officials and division teams, including logistical details and planning for entry into DoD facilities as necessary.
Develops and maintains points of contact for foreign engagement and supports international team’s efforts across the organization.
Provide planning and logistical support for an annual Conference, workshops, technical convenings and strategic planning sessions.
Organize visioning sessions with staff to capture event objectives.
Prepare visual and written materials for official international meetings and events including PowerPoint slides, one-page overviews, and talking points.
Develop and maintain workplans and timelines for events.
Establish a schedule of meetings with the event team and coordinate across the Chief Digital and AI Office organization on international events and meetings.
Develop and maintain systems and templates to streamline events.
Provide weekly updates to government lead and team members.
Select and secure venues for meetings and events, as needed (may include site visits, soliciting quotes from venues, compiling list of competitive venue bids, etc.)
Manage payments, invoicing, receipts, and credit card reconciliation for meetings, travel, and events.
Work with the team to ensure meetings and events are interactive, engaging, and relevant.
Manage communication with speakers, facilitators, and attendees in collaboration with identified team; includes managing RSVP lists.
Be onsite at events to ensure smooth experience for speakers, facilitators, and attendees.
Create post-event surveys and analyze data to be included in event after action report.
Plans, coordinates, and executes the protocol program for meetings and events including ceremonies, conferences, official visits of senior level US Government and international distinguished visitors, official social functions, and other events.
Coordinates with the offices of senior leadership within DoD, Joint Staff, and other USG agencies, embassies, and private sector for attendance to events
Briefs senior organizational leadership on status of planning and actions during the execution of meetings and events
Responsible for coordinating the execution and administration of funds, preparing the annual budgets for events, establishing contracts with venues and caterers, and procuring supplies and services through government credit card and centrally billed accounts.
Develops reports and other program presentations regarding special event planning as well as budget management and program evaluations.
Designs and conducts a wide variety of comprehensive studies and detailed analyses of event processes as they relate to long-range budget, personnel, procurement, and contract planning for each special event.
Manages the planning, coordination, and execution of all conferences held by the International Affairs team.
Conduct strategic planning and research to establish dates, schedules, and intent of events and activities, develop event concepts and objectives, analyze and estimate necessary resources.
Suggests, advises on, and develops meeting, travel, and event itineraries, sequences of events, instructions, guides, supplementary material, and pertinent correspondence, including maps, directions, parking passes, menu options, lodging information, tent cards, labels, etc
Coordinates event music, entertainment, photography, and media coverage with Public Affairs
Coordinates speeches and/or talking points for the executive leadership team for all international public appearances, events, and meetings.
Coordinates with communications staff or other senior staff to review, edit and approve high-quality final products.
Drafts news releases and advisories for international meetings and events
Performs other related duties as assigned.
Requirements :
5+ years related experience.
To be considered, must have DoD Secret-clearance and the ability to obtain a DoD Top Secret/SCI
Experience handling complex logistical and detail-oriented tasks to coordinate senior-level international visits and travel.
Experience with DoD-wide processes and tools related to foreign visitors and foreign travel to include the Foreign Visitor Request (FVR) process and Aircraft and Personnel Automated Clearance System (APACS).
Skills to plan and organize, gather, analyze, and present information and perform supporting analyses for senior DoD officials at a high level of quality in a time-constrained environment.
Strong organizational management and problem-solving skills with impeccable attention to detail
Powerful analytical and problem-solving skills – including the ability to develop solutions in new and creative ways.
Ability to create and execute visual and written materials to support senior-level official international meetings.
Exceptional MS Teams, Word, and PowerPoint skills; proficient Excel and Outlook application skills
Ability to work independently on projects, from conception to completion.
Experience with navigating the Pentagon’s processes.
Proven capacity to take initiative and willingness to learn new skills as needed.
Strong work ethic and the ability to work well independently and as part of a team.
Outstanding interpersonal skills and ability to interact with individuals at all levels.
The ideal candidate will have experience working with federal and/or state government agencies, as well as a strong understanding of protocol and etiquette.
Education:
Bachelor’s degree in international Affairs, Public Administration, Foreign Policy, or related field
