Description
We are searching for a dedicated Property Administrator to join our team in Melville, New York. In this role, you will be providing administrative support to management, maintaining insurance tracking systems, and handling various accounting tasks. This role offers a contract to hire employment opportunity, ideal for candidates with strong skills in accounting software systems and Microsoft Office Suites. Responsibilities
• Provide direct administrative support to managers, ensuring the smooth operation of the office
• Maintain and update Certificate of Insurance tracking systems for both Tenants and Contractors, ensuring compliance with management requirements
• Handle general filing duties, ensuring all property documents are filed accurately and promptly, both online and in shared files
• Check emails regularly throughout the day to ensure prompt attention to immediate issues
• Prepare express mail packages and monitor supply levels, replenishing as necessary
• Assist team members with budget preparation for the property as requested by Manager
• Handle Accounts Payables, ensuring all invoices for the property are entered into the accounting system, coded, and approved for payment
• Obtain completed W-9 forms from all vendors and manage Accounts Receivable
• Deliver superior customer service to all tenants, clients, contractors, and vendors
• Review, update, and revise the Tenant Handbook as necessary, coordinating distribution of updates or revisions to all new tenants upon their commencement of lease agreements
• Prepare tenant memos and correspondence as directed by Managers regarding holidays, upcoming events, etc
• Coordinate all arrangements, notifications, and authorizations for Tenant Move-In’s/Move-Out’s, ensuring compliance with all requirements.
Requirements • Proficiency in Accounting Software Systems
• Experience with JD Edwards EnterpriseOne
• Strong skills in Microsoft Excel
• Familiarity with Microsoft Office Suites
• Proficient in Microsoft Outlook
• Understanding of Accounting Functions
• Experience with Accounts Payable (AP)
• Excellent correspondence skills
• Ability to handle documentation effectively
• Knowledge of insurance procedures and policies
