Position Summary
Reporting to the Divisional Administrator, the Program Coordinator is responsible for providing administrative and secretarial support to the Directors of the Programs and their faculty members.
Responsibilities
Serve as the single point of contact for the faculties' administrative needs.Coordinate multiple faculty calendars, schedule meetingsArrange travel, prepare agendas and materials for meetings, prioritize action items, respond to routine correspondence, and maintain records or files.Respond to visitors and telephone calls in a manner that demonstrates the highest levels of quality, accountability, and teamwork.Read and analyze incoming mail, memos, submissions, and reports to determine their significance and distribute to the appropriate parties.Conduct projects and assignments for the Directors: gather data, compile various reports, photocopy materials, and assist with preparation of Power Point and other presentations.Provide assistance with manuscript editing /submission for the Program Directors and members of the programs.Interact with high-level contacts and handle sensitive information with considerable use of tact, diplomacy, discretion and judgment.Performs additional related duties as assigned.Minimum Qualifications
Bachelor's degree or equivalent in education, training and experience, plus two years of related experienceAbility to work under pressure in a fast-paced environment with a sense of urgencyAbility to undertake multiple tasks, constantly set and reassess priorities to meet deadlinesSelf-starter with solid organizational and team-player skillsExcellent interpersonal skills and communication skills - both written and oralWell-developed level of discretion and confidentialityComprehensive knowledge of Phone/Voicemail/email/Instant messaging and take clear, concise messages and relays messages or routes calls in a timely mannerProficient computer skills including Microsoft Outlook, Word, PowerPoint, EndNote and ExcelOther Requirements
