ProfessionalTime Type:Full timePosition Term:12 MonthPosition Details:Summary of Duties:The Principal Assistant serves as the first-line contact for internal and external constituencies and carries out a full-range of complex and confidential administrative and managerial assignments on behalf of the William D. Ruckelshaus' Director and other assigned staff. Duties include but are not limited to: providing comprehensive administrative support; responsible for maintaining open communication and collaboration among internal and external constituents; project and event planning and management; research; and executing strategic goals of the center and university.This position is proactive, takes initiative, is efficiently responsive, undertakes projects with little direction, and analyzes and summarizes information for projects. The work and information handled is of a nature regularly requiring confidentiality and the exercise of discretion.This position may be eligible for hybrid work - does require regular in office support.Responsibilities include:- Provide administrative assistant support to Center Director including scheduling meetings and calendar maintenance- Manage office operations including monitoring the Center's main email, phone line, and office equipment and ordering office supplies- Support and coordinate travel arrangements and conference registrations for Center faculty and staff including processing spend authorizations and expense reports- Provide logistical support for internal and external Center events and meetings including scheduling and coordinating venue rental contracts and payments- Provide logistical support for hiring services and HR actions- Act as an HR liaison between the Center and WSU central HR- Schedule Advisory Board, Foundation Board and Committee meetings and track meeting attendance- Type agenda, take notes, and provide clerical support for other special meetings as appropriate. Maintain printed and electronic files; keep accurate and thorough records- Coordinate logistics for local, state, and federal filings for the Center's Foundation- Maintain database, listservs, and directories for communications- Update website content as needed- Assist in processing gifts, sending timely thank you notes, and issuing receipts and renewal reminders- Office space management including liaising with the property management company to communicate space issues or necessary repairs- Schedule and coordinate appointments and meetings with individuals and groups both within WSU and outside agencies including room reservations and arranging phone, video teleconference, and laptop and projector equipment and ordering food.Required Qualifications:• Demonstrated proficiency with Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.• Excellent written and spoken communication skills, including professional experience in preparing correspondence, reports, and presentations.• A history of meeting deadlines and providing high-quality work.• Strong customer service skills.Preferred Qualifications:• Experience updating websites.• Experience coordinating travel arrangements.• Experience processing payroll and fiscal documents.• Data entry experience.• Some experience using database and mass communication software (such as Mail Chimp).Additional Information:Area/College: Office of ProvostDepartment Name: William D.
