JOB DESCRIPTION:
The PMO Project Coordinator is responsible for working closely with PMO Project Managers and Change Managers providing support and assistance across a portfolio of projects spanning one or more areas of the business. Additionally, the PMO Project Coordinator may solely be responsible for planning and managing a project through the entire life cycle, ensuring on-time delivery, at or under budget, efficient processes, stakeholder management, and quality outcome. In this role, the PMO Project Coordinator is expected to adhere to established project management and change management standards, create or modify project management templates, apply standard data collection procedures (e.g., surveying, focus groups) and analysis, and handle project administrative functions (e.g. scheduling meetings, compiling and distributing meeting notes, produce project status reports and maintain project SharePoint sites).
JOB RESPONSIBILITIES:
This role is not open to remote candidates. This is a hybrid position and will require 50% in office attendance.
This position will be responsible for a range of activities in support of the PMO Project Management team. Examples of possible tasks include: running validation reports from the company-wide dataset of project data to ensure project plans are updated and accurate; building, administering, and conducting end user surveys, coordinating the PMO monthly project status reporting process and updating the dashboard.
Collaborates with Project or Change Managers to document business requirements.
Establishes deadlines, assigns tasks, and monitors/summarizes progress of project.
Works with management to identify appropriate resources and people to complete assigned projects on time and within budget.
Manages the project status reporting according to prescribed timelines for a given project.
Track activities, risks, potential issues and resources of multiple projects. Develops and maintains various documents.
Maintains project schedule; escalates any conflicts or potential issues with the completion of dates and milestones.
Monitors project’s risks.
Appropriately escalate barriers, issues and risks to meeting timelines and deliverables to appropriate Manager.
Understands the project scope in terms of mission, objectives, and requirements of assigned projects as well as interdependencies with other related projects.
Assists in the development of measurement processes/methods for assessing progress towards goals and project outcomes.
Drafts job aids, surveys, and presentations; may be required to deliver the information to internal business associates in a clear and concise fashion.
Establishes and maintains ongoing partnership with various departments to facilitate data collection from applicable systems.
Working independently, selfmanages workload and negotiates deadlines to meet expectations.
Completes complex and non-routine assignments independently.
Applies experience and knowledge of industry, company, policies, and regulations to resolve or recommend solutions.
Takes the initiative to discuss assignments, expectations, priorities and deadlines as well as seek guidance and coaching from Manager.
Notifies Manager when workload is light and volunteers for additional work. Adjusts quickly to new work structures, processes, requirements or cultures.
Identifies process improvements within assigned area.
Positively represents and markets PMO services to the organization.
Understands the processes of the PMO and the roles of each team member.
Provide administrative support across the PMO in one or more areas including Monthly Project Status reporting, Asset Tracking, Licensing Tracking, Office Supply Management, Team Meeting Scheduling, etc.
MINIMUM Requirements
Education
Bachelor’s degree in a related discipline or equivalent related work history.Experience
At least two (2) years of experience in project management, change management or related field
Preferred experience with project management and/or change management documents and methods
Experience in data collection and analysis methods and procedures preferred
Experience with a project planning tool (MS Project, Smartsheet, etc.), MS Office Suite, and SharePoint
Knowledge, Skills and Abilities
