About Personal Assistant

  A Personal Assistant to General Manager is responsible to provide the General Manager with administrative support including typing, filing, answering telephones, taking messages, maintaining appointment calendar, making travel arrangements and other general office duties. Assumes full responsibility for all administrative duties in the Executive Office ensuring professional and timely execution of all tasks.

  What will I be doing?

  As a Personal Assistant to General Manager, you are responsible for performing the following tasks to the highest standards:

  Opens incoming mail, dates stamps, distributes accordinglySends outgoing mail both interoffice and outside of the hotelRoutes mail, faxes and other printed matterPrepares and types correspondence and fairly complex numerical/financial reports as instructedPrepares correspondence on behalf of the managementDuplicates, copies and distributes and mails materials for the officeOrders and maintains office supplies and equipmentMaintains files and equipment in an orderly and professional mannerUses the property’s email system and maintains their email box, as is policyAppropriate business use of telephone and voice mail systemGreets internal and external customers in a friendly and professional manner. Announces visitors and/or handles requests, as appropriateScrutinizes and handles Guest satisfaction scores/ Guest Assistance on a regular basisScrutinizes daily VIP guestsSchedules meetings and records meeting minutesWhat are we looking for?

  A Personal Assistant to General Manager serving Hilton Brand hotels and vacations is always working on behalf of our Guests and working with other Team Members. To successfully fill this role, you should maintain the attitude, behaviours, skills, and values that follow:

  Two year similar experienceStrong organization skills, multi-task oriented and good time managementDriving license and CarAbility to read listen and communicate effectively in English and in writing, using correct grammar, spelling and sentence structurePrepare official correspondence on behalf of the managements to both internal and external communications verbally and in writingAbility to sit for extended periods of time and continuously performs the essential job functionsAbility to effectively deal with internal and external customers, some of whom will require high levels of patience, tact and diplomacyAbility to type 60 wpmAbility to effectively transcribe information from handwritten memos and recordingsWhat will it be like to work for Hilton?
