  MINIMUM REQUIREMENTS:

  A high school diploma or its equivalentandone (1) year of secretarial or clerical work experience.

  College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for the required work experience.

  Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for the required work experience.

  Please Note: There will be a numerically based work sample administered with an established minimum required passing score to all eligible candidates as part of the hiring process for this position.

  ADDITIONAL REQUIREMENTS:

  Must be able to travel approximately 10% of scheduled hours.

  Monthly travel will vary based on activities scheduled (reviews, technical assistance, workshops, conferences).

  Must be willing to obtain additional training appropriate to job functions.

  NOTES:

  Successful applicant must pass a background screening, including fingerprinting, as a condition of employment

  Actual hours of work shift will be established by supervisor and based on providing departmental coverage for established business hours.

  Some overnight, weekend and evening travel may be required for attendance/presentations at conferences and meetings/trainings.

  Moderate overnight travel for periods of time possible for school visits and onsite system assistance.

  JOB DUTIES:

  This position will support the Bureau of Education and Outreach. The candidate will be responsible for the following duties:

  Assisting with the planning, organization, management and facilitation of events that promote division programs.

  Aiding the pre-event logistics and on-site event management, including site selection, room set-up, audio-visual and technology needs, attendee arrival and flow process, room block management, ground transportation, and related activities. Managing the logistics of event set up, break-down, and follow-up.

  Reviewing vendor invoices to ensure accurate billing and reconciles invoices to the event budget. Processing event associated invoices and purchasing card charges in accordance with the prompt payment requirements.

  Coordinating and arranging event planning meetings.

  Researching and maintaining a working knowledge of current industry trends including changes, cost drivers, market conditions and economic indicators to inform event planning strategies and timelines.

  Representing the division and department at various conferences, meetings and events held at state and national levels. Building and cultivating relationships with vendors, venues, convention and visitors’ bureaus, and other event professionals.

  Maintaining a database of all division meetings, conferences and events that promote division programs. Maintaining a database of potential venues for events for use in solicitation efforts.

  Attending and participating in Outreach meetings.

  And other duties as assigned.

  KNOWLEDGE, SKILLS AND ABILITIES:

  Knowledge of industry principles and practices of meeting and event planning

  Knowledge of the principles and techniques of effective communications

  Knowledge of program planning and evaluation techniques

  Knowledge of Event Management Software, such as Whova, Cvent

  Skill in project management, scheduling and estimating

  Skill in Microsoft Office applications (e.g., Word, Excel, PowerPoint, Outlook, SharePoint, Teams)

  Ability to conceptualize, develop, produce and evaluate events

  Ability to plan, organize and coordinate work assignments

  Ability to develop, negotiate and oversee contracts

  Ability to conduct research and analyze data

  Ability to establish and maintain effective working relationships with others

  Ability to work effectively without day-to-day direct supervision

  Ability to establish and maintain productive business relationships

  Ability to communicate effectively both orally and in writing with internal and external customers

  Ability to work effectively under pressure and meet strict deadlines while maintaining extreme attention to detail

  Ability to manage multiple projects independently
