This position is located at the Los Angeles Int'l Airport in Los Angeles, California.
Responsibilities:
The Office Manager shall be responsible for overseeing and directing all Operations and Maintenance Services. This will include maintaining all maintenance records, safety compliance, human resources compliance and all administration related to the operations. Additionally, will ensure the delivery of all reports to TBITEC and LAWA in a timely manner. The office manager will also maintain all staff records, training records including our CMMS records. The office manager will also be the authorized signer for LAWA and will ensure compliance with all airport rules and regulations. The office manager will also be an extension of the site manager and will assist with hiring, training and ensure all staff is meeting all safety compliance as required by the organization and OSHA.
Developing and training new staff.
On call 24/7 and supports operations as needed.
Represents and cover for manager and site manager as needed.
Supervision and managing staff.
Manages inventory ensure accuracy in CMMS.
Responsible for purchasing and parts ordering.
Completes all reports as required for the office manager role.
Safety – Monitors and track safety compliance.
HR- Office manager ensures all HR related items are compliant.
Manages all hiring processes.
LAWA authorized signer, ensures to comply with all LAWA rules and regulations.
Ensures compliance on all daily reports, daily walks and safety.
Audits work orders and ensures compliance.
Implement SOPs to improve operations.
Responsible for accuracy for all Month end reports for TBITEC and LAWA.
Responsible for all billing invoices.
Responsible for administration management.
Inventory management including:
1. Maintain control of all spare parts provided by TBITEC and administration of purchasing activities to maintain spare parts at required inventory
Manages and inventories equipment and tools.
Coordinate down system contingency planning and failure protocols with TBITEC.
As required by TBITEC preparation and submittal daily and weekly reports, monthly and annual summary reports regarding the performance, operational and maintenance status of the CBIS/BHS, PBB and related
Qualifications:
High School diploma or GED equivalent
Bachelor’s Degree preferred.
Valid Clean Driver's License.
3+ years of CA payroll experiencewith a background in: Administrative and Clerical Duties, Payroll and Human Resource, and bookkeeping duties.
3+ years’ experience in maintenance and operations services.
Excellent understanding of Microsoft Office and Microsoft Excel (workbook entry, creation, formulas).
Detail-oriented and organized.
Strong communication and customer service skills.
Ability to be badged to work in secure areas of an airport.
Familiarity with Airport operations a plus.
Computer skills, specifically with Microsoft Word and Excel.
Ability to clearly direct, lead work tasks, and delegate assignments to employees.
Ability to communicate professionally to customers and fellow employees.
Ability to be badged to work in secure areas of an airport.
Available to work days, including weekends and holidays when the need arises.
PHYSICAL DEMANDS
While performing the duties of an Office Manager, the employee is regularly required to stand; walk; use hands and fingers to handle or feel; reach with hands and arms; stoop, kneel, crouch, or crawl; and talk or hear. The employee is frequently required to climb or balance and work in small spaces. Ladder work required. The employee must regularly lift and/or move up to 50 pounds. Ability to work in outside weather conditions on an airport ramp around aircrafts and the confined areas of baggage conveyor systems. Specific vision abilities required by this job include good proximity vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. Good hand / eye coordination is required.
WORK ENVIRONMENT
The work environment is similar to airport operation with vehicular traffic. The employee is regularly exposed to moving mechanical parts, high, precarious places, outside weather conditions, fumes, or airborne particles, toxic or caustic chemicals, cold, and vibration. The noise level in the work environment is usually loud. Employees will work on an airport ramp around aircrafts and around heavy equipment.
