This non-clinical position provides support to the Medical Director and Total Rewards team functioning as a medical office assistant with responsibility for some medical department processes, as well as administrative tasks.
Uses discretion, judgment, and initiative to continue the work responsibilities of the office in an efficient manner when the manager is unavailable. The incumbent must determine what can be handled immediately by direct reports, referred to others, held for manager’s return or completed by the assistant independently.
Job functions of the incumbent may include the following:
Understand and be responsible for Clinical Laboratories Improvement Amendments (CLIA) waivers including tracking, renewing, and paying existing waivers, submitting new waivers as needed, and reconciling payment of all waivers.
Communicate with business unit managers for required accounting distribution information for payment of CLIA waivers and international medical assistance services invoices.
Facilitate and coordinate domestic and international travel arrangements as required by the manager including airline travel, lodging, ground transportation, etc.
Prepare and submit internal vouchers and payroll for contract physicians.
Organize and pay invoices, as needed, for medical department programs.
Order office supplies for the Corporate Medical department and Total Rewards team using NextGen and Coupa.
Coordinate use of mother’s rooms in AB/AH, including maintaining a spreadsheet of active users, requesting badge access for new mothers, and working with Global Facilities, as needed, to maintain rooms.
Provide general support to medical team including assisting with disposal of expired medications.
Maintain master key distribution list for Peoria area medical clinics and lock box keys.
Ability to work with and treat appropriately highly sensitive and confidential information.
Maintain medical library including managing departmental subscriptions including medical journals and other publications.
Operate a PC and standard software programs with use of advanced levels of understanding and skill in Microsoft Office.
Schedule meetings and maintain calendars.
Handle, sort, and organize departmental mail.
Filing and maintaining existing department files.
Maintain medical department email distribution lists.
Answering telephone, taking messages, and answering routine questions.
Prepare expense books.
BACKGROUND/EXPERIENCE: The position requires the ability to learn and perform support processes and tasks for the medical team, as well as administrative tasks for the Total Rewards team. The position requires the application of seasoned, advanced organizational skills gained through years of experience and challenge in the more advanced and complex features of the activities of an office or work area. The incumbent should have general knowledge of company organization and its operations with a detailed knowledge of functions and responsibilities of the departments within the assigned area. The individual must be able to think and work independently, have superior organizational skills, and maintain a high-level of confidentiality.
