  Position Description:

  Performs specialized clerical and secretarial duties in direct support of a Department Chair within the Health Science Center. Employees in this position are responsible for performing varied and complex office duties which require a thorough knowledge of departmental and institutional policies and procedures, as well as medical and scientific terminology. Employees in this classification may be responsible for supervising a small clerical unit. Work is performed under general office conditions requiring a high degree of telephone and personal contact with HSC faculty, staff, patients, and outside professionals. Work is also performed under pressure of deadlines, which may include frequent requests for urgent reports

  Major/Essential Functions:

  Responsible for providing support to the Department Chair, Administrator, and Faculty to include answering incoming and outgoing calls, answer routine correspondence, Relives Department Chair, Administrator, and other Faculty of various administrative duties.

  Provides assistance in special projects, technical and business correspondence, reports and other assigned presentation related items (ex. Promotion package, Tenure packages, Power Point presentation, for assigned faculty, etc. as needed.

  Responsible for maintaining Faculty Calendar(s) files, to include scheduling appointments for conferences, taking meeting minutes, faculty peer reviews, etc.

  Maintain portfolios current and updated.

  Maintain all processed forms, orders and expenditures on all material for a variety of record for Department Chair, assigned Faculty, and Administrator.

  Assists in the supervision of the Senior and Medical Secretaries, Coordinators and Business Assistance staff in related office, duties and standard of conduct.

  Ensures office coverage/support is available at all times.

  May approve time sheets for administrative staff.

  Responsible for preparing travel arrangements and accommodations for Chair and assigned Faculty to include completion of application/travel vouchers and any other related form/expenditure needed.

  Participates in faculty recruitment procedure for Department and Children's Hospital by assisting Chair, Administrators and Lead Specialist for Faculty Recruitment.

  Transcription of various medical reports, and technical business correspondence, for Department Chair, Administrator, and assigned Faculty.

  Schedules and coordinates committee meetings, education meetings, lectures for assigned Faculty and performs related work as requested. (ex. Power point presentations, letters etc.)

  Assists in training and mentoring new medical secretaries, coordinators and business assistants for the department and introduces them to various administrative programs/systems within TTUHSC.

  May participate in daily/monthly related secretarial duties including but not limited to obtaining and distributing departmental mail, and front desk phone coverage.

  Familiar with TTUHSC faculty recruitment policies and procedures. Supports and provides feedback to the immediate supervisor and administrator.

  Exhibits flexibility and adaptability.

  Flexibility to travel to the different sites where Texas Tech Pediatrics operates.

  Assists with departmental functions, resident activities, and/or other internal/external departmental activities as needed.

  Adheres to all TTUHSCEP Institutional and interdepartmental policies, procedures and processes.

  Personally demonstrate, display, and act in accordance with TTUHSCEP values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork).

  Actively promote and encourage staff across the institution.

  Pay Statement:

  Required Qualifications:

  High school diploma or GED

  At least 12 months experience as a Senior Medical Secretary at TTUHSC

  OR

  5 years experience in a progressively responsible secretarial position with 3 years in a medical or scientific settingDoes this position work in a research laboratory?:
