  Candidates MUST meet the following basic qualifications to be considered for this role:

  Minimum three years of experience in publishing, licensing, copyright research or related experience.

  Additional Qualifications and Skills:

  College degree preferred; training and up-to-date understanding in copyright law, intellectual property law, fair use, and similar issues strongly preferred; experience working with legal issues related to copyright or intellectual property highly desirable; effective project management and time management skills; ability to set goals and priorities; effective at collaborative problem-solving. Demonstrated ability working with and resolving conflicting priorities. Demonstrated success in building relationships; effective negotiation skills. Previous exposure to or education in art or art history desired. Excellent oral and written communication skills. Experience with TMS strongly preferred.

  Role and responsibilities:

  In collaboration with the leadership of the DIET, Curatorial, Communications, Conservation, and Collections Management divisions, prioritizes objects for which copyright information is required.

  Conducts research into the copyright ownership of objects in the collections, including new acquisitions. May collaborate with the Curatorial Assistant for Special Exhibitions and Publications in the Division of Modern and Contemporary Art for Mod-Con acquisitions.

  Actively acquires usage permissions/agreements for objects in the collections. Contacts and negotiates with artists, artists’ estates or heirs, legal representatives, etc. to obtain permissions for use of images in the museums’ print and digital platforms.

  Supports the project-based copyright and permissions research across all curatorial divisions.

  Consults and collaborates with the Harvard Office of General Counsel (OGC) as needed to ensure museum practices align with Harvard University policies and practices, especially for contractual agreements.

  Fields inquiries from all internal departments/divisions on the applicability of fair use standards to their projects.

  Maintains copyright records, permissions history, and incoming and outgoing permissions records in the museum’s collection management system (TMS) and related systems on a timely basis; periodically reviews and updates entries, as needed. Collaborates with the Collections Information and Database Specialist on workflows and data standards for tracking this information in TMS.

  Maintains up-to-date knowledge of the copyright and permissions field. As the museums’ specialist in copyright and permissions, educates and informs colleagues about issues and questions of copyright laws, IP, policies, and practices. Participates in discussions and on project teams, as required.

  Participates in Harvard University’s Copyright First Responders group. Discussess university-wide copyright issues and related policy questions and topics.

  Fields and processes all requests to license museum produced media.

  Works and collaborates with colleagues across the museums and university.

  Other duties as assigned.

  The Harvard Art Museums seeks a Manager of Copyright and Licensing to work as part of the Digital Infrastructure and Emerging Technology (DIET) team. The manager is responsible for two essential functions: research and documentation of copyright status for objects, in all media, in the museum’s collections; and processing all requests to license museum media.
