  The Department of Medicine, Division of Hospital Medicine has an exciting opportunity for a Manager, Administrative Operations to work on the UHealth Campus. The Manager, Administrative Operations oversees office activities and services including the supervision of office staff to achieve maximum productivity and expense control. Develops procedures and policies for administrative activities, such as records maintenance, document preparation, mail distribution, reception, and other related internal operations.

  Creating provider schedules in QGenda in accordance with clinical expectations, clinical site needs and time off requests for 45 Physicians and 32 APPs

  UHT Daytime, UHT nocturnist, JMH procedures, Bascom Palmer, ED

  Coordinating with providers via phone and email to secure clinical coverage in the event of call-outs, swaps, team closures, or abrupt changes in census

  Track completion of shifts compared to expectations and address discrepancies

  Tracking shifts worked, calculating payments and preparing monthly Overload documents for per diem physicians, non-divisional moonlighters, and faculty and staff-physicians working above their shift targets. Once approved by Chair’s office, submits for processing.

  Onboarding new providers – ensuring providers obtain Florida medical license and are fully credentialled prior to hire date, scheduling epic training, submitting OARF’s to grant HM access in EPIC, facilitating orientation with division leadership

  Offboarding providers – cancelling clinical privileges, terminating malpractice, collecting badge ID’s, collecting laptops, and ensuring the provider’s epic inbasket is cleared and monitored following the termination date

  Verifying and updating provider credentials including Medical Licenses, DEAs, NPIs, ACLS, and BLS and processing recredentialing for all providers

  Scheduling and coordinating interviews and case presentations for division recruitment efforts

  Booking speakers and processing honorariums for monthly clinical grand rounds presentations

  Assists with recruitment postings with affiliate partners (SHM, ACP) and screening process

  MINIMUM QUALIFICATIONS

  High school diploma or equivalent

  Minimum 5 years of relevant experience

  Ability to accurately prepare and maintain records, files, reports and correspondence

  Ability to communicate effectively in both oral and written form.

  Ability to maintain effective interpersonal relationships.

  Ability to direct, manage, implement, and evaluate department operations.

  Ability to effectively plan, delegate and/or supervise the work of others

  Knowledge of business and management principles.

  Any appropriate combination of relevant education, experience and/or certifications may be considered.

  Patient safety is a top priority.
