Posting Summary
Rutgers, The State University of New Jersey, is seeking a Management Assistant for NJMS- Office of the Chief Operating Officer. This position provides high-level and confidential administrative and management support within the Office of the Dean - to the Chief Operating Officer. Coordinates office operations and serves as a business liaison with various units and administrative offices throughout the University.Among the key duties of this position are the following:
  • Maintains supervisor's and/or department calendar, establishing priorities and scheduling appointments at own discretion.
  • Regularly coordinates meetings and arranges programs and events, including arranging for facilities and caterer, issuing information and invitations, coordinating speakers, and tracking event budgets.
  • Responsible for processing PO's, Check Requests.
  • Acts as liaison with various administrative departments and units of the University. Responsible for timely follow-up and resolution of problems and questions.
  • Composes business correspondence creates and maintains databases and spreadsheets as required.
  • Oversees the maintenance of department records and ensures that files and recordkeeping systems meet the needs of the department.
  • Coordinates the distribution of announcements via the Rutgers Automated Mass-mailing System (RAMS)
  • Expedites and coordinates services such as maintenance, repairs, office supplies, equipment, and mail.

  Qualifications

  

Minimum Education and Experience
  • Bachelor's Degree in Business Administration, Finance or a related field,
  • plus one (1) year of experience involving the review, analysis and evaluation of financial, organizational, and/or administrative practices n a business or government agency required. Three (3) years of administrative experience preferred.
  • Equivalent experience, education and/or training may be substituted for the education requirements
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Ability to perform basic accounting functions.
  • Proficiency in Microsoft Word, PowerPoint, Excel, Publisher, Adobe Acrobat and other computer applications as required by department.
