  Job ID359392 LocationTwin Cities Job FamilyAdministration-General Full/Part TimeFull-Time Regular/TemporaryRegular Job Code0833 Employee ClassCivil Service About the Job The University of Minnesota Office of the General Counsel (OGC) has an exciting opportunity for a Transactions Law Legal Administrative Assistant/Legal Secretary. The work involves providing a full range of administrative support to multiple attorneys, and to paralegals who work with the assigned attorneys. The primary focus is in the transactional law areas of general corporate; financing (example: debt issuances); investment; international; intellectual property (example: trademarks); real estate (example: acquisition, sale, lease, and use); and construction (ex: design and construction agreements and supporting agreements). Duties: Edit, format, review, and draft legal documents, memoranda, and correspondence including contracts with numerous exhibits of varying complexity. This includes "standard" contracts with edits and exhibits for unique situations, and lengthy, complicated contracts developed over long periods of time with many exhibits. Maintain files in an electronic document management system (DMS) Generate new categories/matters/files in DMS, documenting essential details Ensure that no duplicate matters exist Determine the appropriate University department client and the responsible executive officer and the nature of the matter Scan and file materials to corresponding DMS Workspace, linking to related documents and Workspaces as appropriate Assure and encourage the use of versioning in document creation, concluding with the final, signed document (as appropriate) Assemble, organize and maintain physical files Perform DMS searches for particular documents and files Follow established OGC procedures and individual attorney preferences for closing files, including: Determine materials to be retained physically and electronically (in DMS) and the appropriate location for retained materials Authorize shredding of remaining file materials Ensure that concluded matters are completely recorded in the electronic document management system and dispose correctly of physical documents Produce and transmit requests for approval of Continuing Legal Education and professional development sessions; handle registration with sponsoring organization, recording of credits, and report to state board Make business travel arrangements, including professional conference registration, transportation and housing, and expense reimbursement requests Provide backup support for other secretaries and support staff in the office with a teamwork approach. Abilities/Skills/Knowledge: Knowledge of legal terminology, documents, and processes Work independently and without direct supervision Strong organizational skills Attention to detail and commitment to accuracy Experience with confidential or sensitive information and situations necessitating considerable use of tact, discretion, professionalism Ability to handle time-sensitive projects while organizing and prioritizing work, with minimal supervision Strong time management skills Strong verbal and written communication skills Ability to meet deadlines Qualifications Required: At least 3 years of office work and/or education/training beyond high school, including a minimum of one year of legal assistant/legal secretary experience in transactional law. Experience with an electronic document management system. Proficiency with Microsoft Office suite and Google suite of applications. Experience managing attorney calendars/scheduling. Excellent communication and interpersonal skills, both on the phone and in-person, to effectively and appropriately interact with a broad and diverse range of leadership, faculty, and staff. Preferred: Familiarity with general contract language; experience with real estate and construction terminology and contracts; experience with finance and investment terminology and contracts; intellectual proper y; standardized contracts in electronic formats.
