Are you a detail-oriented professional with exceptional organizational skills and a passion for legal support? We're seeking a Legal Administrative Secretary to join a team and provide crucial support to our timekeepers, ensuring seamless operations and efficient workflows within our legal practice.
Key Responsibilities:
Task Coordination: Maintain a comprehensive overview of timekeepers' workload and caseload. Anticipate next steps and implement follow-up procedures, tracking tasks from initiation to completion.
Document Management: Create, edit, and proofread various documents sourced from dictation, handwritten notes, typed materials, and electronic copies, ensuring accuracy and adherence to standards.
Calendar and Meeting Management: Manage timekeepers' calendars, scheduling meetings, trips, and events using current software applications. Provide advanced notifications and brief timekeepers on upcoming responsibilities.
Legal Documentation and Filings: File paper and electronic documents with courts and agencies, ensuring compliance with procedures and meeting all deadlines. Maintain meticulous records of filings.
Meeting Support: Attend meetings, taking detailed and accurate notes. Coordinate with docketing specialists to review and ensure documents meet legal requirements.
Client and Matter Support: Assist in preparing new client and matter intake forms, engagement letters, and coordinate conflict checks to maintain ethical standards.
Billing and Accounting Assistance: Support billing processes, including data entry, proofreading, and preparation of billing documents. Prepare accounting-related documents such as check requests and expense reimbursements.
Administrative Support: Coordinate conferences, meetings, and travel arrangements for timekeepers, clients, and administration. Manage administrative and client files, both digital and paper, maintaining impeccable organization and accuracy.
Communication Handling: Screen and transmit various communications, including telephone calls, faxes, and electronic messages. Prepare outgoing mail and packages, ensuring timely delivery and meeting deadlines.
Additional Responsibilities: Perform various administrative tasks such as copying, scanning, and faxing documents, undertake Internet research as directed, and handle miscellaneous tasks and special projects as needed.
Requirements
Qualifications:
Proven experience as a legal administrative assistant or in a similar role within a legal environment.
Proficiency in document management and calendar software applications.
Strong organizational and multitasking abilities, with excellent attention to detail.
Knowledge of legal filing procedures and document handling within law firms.
Exceptional communication skills and the ability to work well in a team-oriented environment.
Prior experience with billing processes and accounting documentation is advantageous.
