Overview
An estate and probate legal secretary provides administrative and legal support to attorneys specializing in estate planning, probate, and trust administration. They are responsible for a variety of tasks, including:
Preparing legal documents, such as wills, trusts, and probate pleadings
Maintaining client files and records
Scheduling appointments and meetings
Communicating with clients and other attorneys
Conducting legal research
Proofreading and editing legal documents
Managing deadlines and calendars
Responsibilities
Preparing legal documents: This may include typing wills, trusts, powers of attorney, and other estate planning documents. The secretary may also be responsible for formatting and assembling legal pleadings and briefs.
Maintaining client files and records: This includes keeping track of all client information, such as contact information, case files, and financial records. The secretary may also be responsible for filing and retrieving documents.
Scheduling appointments and meetings: The secretary schedules appointments for attorneys with clients, witnesses, and other professionals. They may also be responsible for arranging travel and accommodations.
Communicating with clients and other attorneys: The secretary may answer client questions, provide general information about the estate planning process, and relay messages to attorneys. They may also be responsible for drafting and sending correspondence.
Conducting legal research: The secretary may be asked to research legal issues related to estate planning and probate. This may involve using legal databases and other resources.
Proofreading and editing legal documents: The secretary is responsible for ensuring that all legal documents are free of errors. This includes checking for typos, grammatical mistakes, and formatting errors.
Managing deadlines and calendars: The secretary is responsible for keeping track of all important deadlines, such as court dates and filing deadlines. They may also be responsible for maintaining attorney calendars and schedules.
Qualifications
Excellent typing and grammar skills
Strong organizational and time management skills
Ability to work independently and as part of a team
Attention to detail
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
Knowledge of estate planning and probate law (preferred)
Requirements - Excellent verbal and written communication skills
Strong understanding of spreadsheets and word processing is preferred
2+ years of prior relevant experience
Possess adequate knowledge and understanding of local jurisdictional and federal court rules and procedures
Solid understanding of Probate & Estate Administration
Able to manage time well
Prowess in database management
Previous experience handling legal correspondence and court filing is a plus
