LEGAL DATABASE ADMINISTRATOR & LEGAL ASSISTANT | FULL-TIME

REPORTS TO: Director of Legal Affairs & Legal Counsel
COMPENSATION: $60,000-$70,000 | Full-Time
BENEFITS: Full time employees are covered by medical, dental, vision, basic life insurance/LTD/AD&D. Employees are able to enroll in our company’s 403b plan. Employees will also receive ten days of sick leave and ten days of vacation leave every year, twelve paid holidays and one floating holiday throughout the calendar year. ESSENTIAL FUNCTIONS:
Assist Director of Legal Affairs & Legal Counsel and Junior Legal Counsel with development and implementation of a master database of all contracts and documents of legal significance to be used by all departments at SAM (“Legal Database”);
Create Manage and maintain the Legal Database, draft contract summaries, monitor contract status, and track contract renewals and deadlines;
Assist with mitigation of legal risks by conducting quality assurance audits to ensure contracts are reviewed and approved in accordance with legal processes and policies;
Act as liaison for, and provide customer service to, internal stakeholders regarding use of the Legal Database and access to their department’s contract records;
Provide assistance and support to Director of Legal Affairs & Legal Counsel as well as Junior Legal Counsel;
Maintain corporate legal records, and assist with corporate governance matters;
Prepare legal documents as requested and perform legal research on various topics, such as copyright, nonprofit law, tax law, etc., present findings to Legal team and incorporate findings into learned information bank;
Maintain and update Legal SharePoint page on SAM’s intranet;
Administrative duties, such as management of legal files (digital and physical), preparing expense reports and managing legal department invoices, conducting annual outside counsel expense audit, coordinating and scheduling meetings, ordering supplies, etc.; and
Assist with special projects, and perform other duties as may be assigned.
QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES:
4+ years’ legal experience. Bachelor’s degree or equivalent practical experience. Experience in in-house legal departments and nonprofit environment preferred. Paralegal certificate from ABA approved program a plus, but not required.
Must have good working knowledge of legal principles and legal terminology, and understand the applicable legal framework.
Experience managing a contract management system/database preferred (ContractLogix experience a plus!).
Understands the big picture. Demonstrates ownership over projects and sets goals with institutional priorities in mind.
Exceptional analytical, communication, and organizational skills, high attention to detail, strong judgement, and common sense.
Delivers consistent, efficient, and accurate work product. Able to identify and assess legal issues and to propose creative and practical solutions.
Able to maintain professionalism, integrity, and confidentiality at all times.
Able to manage project priorities, follow through, and maintain responsiveness and commitment to meeting deadlines.
Team player, and able to work independently in a scalable, accountable manner. Strong interpersonal skills and ability to work effectively with cross-functional business teams.
Desire to learn and grow in the role. Willingness to get involved in all aspects of the team’s work (from routine to complex).
Strong proficiency in MS Office products, including Word, Excel, Outlook. SharePoint knowledge a plus.
