Summary
The University of Michigan Medical School is seeking a full-time Administrative Coordinator to work as a key member of our Learning & Accessibility team. The successful candidate will be responsible for coordination of administrative services supporting medical students with accommodations. These shall include but are not limited to: HR processes related to job posting and hiring of Medical Student Tutors and Clinical Intermediaries, coordinating Tutor and Clinical Intermediary schedules, facilitating communication with relevant faculty and staff, partnering with the IT team for live captioning of courses and events, and executing continuous quality improvement initiatives related to captioning of existing lecture video and course content.

Responsibilities*
Coordinate HR processes related to the creation of job postings, application screening, interviewing, and scheduling of Medical Student Tutors and Clinical Intermediaries.
Coordinate weekly scheduling of Medical Student Tutors and Clinical Intermediaries. Assist with reconciliation of timesheets through comparison with scheduling data.
Using understanding of the medical student curriculum and the academic calendar, effectively plan for individual accommodations in required and elective clerkships and courses. Schedule meetings with key curricular stakeholders to review processes, ensure understanding, and share communications regarding appropriate medical student accommodations.
Accurately communicate accommodations to relevant faculty and staff in order to facilitate advanced planning and action, as well as confirm awareness in order to support individual medical student's education.
Coordinate with IT partners for the planning and implementation of live captioning for courses and events.
Oversee continuous quality improvement initiatives to enhance lecture video and course content captioning.
Update cohort and course specific Canvas sites with newly captioned course content to ensure accessibility updates reach enrolled students.
Administer systems that track and document student accommodations, making sure all information is accurate and comprehensive. Execute and maintain practices to ensure the confidentiality of records relating to student accommodation requests and outcomes.
Regularly participate in relevant meetings, professional development programs, and university-wide committees focused on disability services and academic accommodations.
Required Qualifications*
A Bachelor's degree or equivalent combination of education and experience.
Two- to three-years of relevant experience in academic or administrative setting.
Excellent interpersonal, problem-solving, and communication skills, both written and verbal.
Proven ability in managing sensitive and complex student situations with discretion, empathy, and confidentiality.
Familiarity with adaptive technology and learning management systems, including Canvas.
Track record of effective collaboration with various stakeholder, including faculty, students, and administrators.
Knowledge of ADA laws and regulations is desired.
Experience working PeopleSoft HR tools is desired.
Work Locations
The Office of Medical Student Education operates in a hybrid work environment consisting of both in-person and remote work. This position will be classified as a flex position. Onboarding and training will primarily take place in-person. Thereafter, the selected staff member will work remotely 3-4 days/week and onsite 1-2 days week. Staff are provided with a monitor, laptop, and related accessories. Office equipment such as a desk, chair, and printer are not provided for remote work. Staff must supply their own reliable internet access. Basic supplies, such as paper and pens, are stocked at the business location and are available for staff to pick-up should they require these to complete their work.
Additional Information
This position is periodically required to move boxes and supplies weighing up to 20 lbs while utilizing proper safety techniques.
Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
