The opportunity
This unique dual reporting role plays an important role on the Culture, Talent and Diversity team by providing day to day operational support to employees and new hires by facilitating the implementation of important Learning & Development and Human Resources team initiatives, all while embodying Heart & Stroke’s culture of caring and demonstration of values and behaviours.

This hybrid role can be work from anywhere in the Toronto area provided they are able to come into the office at Yonge & Eglinton upon request (approximately 3 times a month).
How you will make an impact every day
New Hire onboarding and orientation
Prepare new hire offer letters
Lead employee onboarding by communicating with new hires, responding to their inquiries, and sending pertinent information including required documents.
Ensure new hire documentation is completed, tracked, saved and submitted in a timely manner, including supporting hiring managers with onboarding process and following up on new hire training or compliance requirements.
Coordinate the new employee orientation process, including content design and maintenance, deployment of ‘Welcome’ messages, assignment of user licenses and user support.
Deliver new employee orientation sessions and support other teams in the development and scheduling of sessions.
Administration and Communication
Maintain accurate and up-to-date human resource paper and electronic files, records, and documentation while ensuring the integrity and confidentiality of all data.
Create and respond to employment verification letters and department inquiries.
Ensure monthly updates to the organization charts are accurate and uploaded to Internal Intranet
Proficiently respond to department inquiries (email & phone) by understanding the CTD team policies and programs.
Confidently respond to common internal and external questions or inquiries on policies or programs and directs inquiries to the appropriate team member if appropriate.
Embody the culture of H&S through interactions with employees and external partners.
Proactively administer the employee maternity and parental leave process
Support departing employees and managers with offboarding information and tasks
In collaboration with the Internal Communications team, support the maintenance of HR Hub on Rita.
Support the annual Code of Conduct communication and collection process.
Carry out other CTD duties/projects as appropriate and as assigned by managers
L&D Program Execution and information management
Support the needs assessment, sourcing, project coordination execution of learning and organization development programs (and/or processes) that drive employee growth, engagement and success.
Support the sourcing, planning, vendor relationships, logistics and execution of wellbeing Wednesday webinars.
Coordinate the submission of content for translation into French and transposes French language materials using translated content.
Manage the L&D learning calendar, user databases, including account set-up/decommission and end-user support (e.g. LinkedIn Learning and Knowbe4).
Support the consolidation and analysis of results from employee surveys, evaluations, assessments and focus groups to identify opportunities for improvement and supporting recommendations.
Provide budget and contract support for all L&D programs.
Manage English and French inquiries sent to the internal learning inbox
Performance Management and training program
Support the maintenance, scheduling and delivery of Heart & Stroke’s “Performance Management" training program for new employees including but not limited to: session content updates, logistics, participant registration and communication, facilitator coordination, record keeping, and program evaluation.
Support HR team with merit process, collection and tracking of annual performance review submissions in Learning Managment System
Recruitment
Support the HRM team with screening resumes, preparing interview questions, scheduling pre-screen’s, interviews, reference checks and exit interviews upon request
Act as backup for the Recruitment Coordinator during peak periods or vacation
Who we need
Experience
2 – 3 years of relevant HR work experience including Learning and Development experience or Training/Adult education.
Experience with instructional design for both soft and technical skills (e.g. information technology platforms) would be an asset
Knowledge and/or work experience in the non-profit or charitable sector an asset.
Education
University degree, College diploma or Post Graduate Certificate in Human Resources Management
Completed or working towards a CHRP designation is preferred
College diploma or certificate in Adult Education or relevant experience would be an asset
Skills
Strong interpersonal and communication (written and verbal) skills, complemented by excellent attention to detail and follow-up skills
Ability to handle confidential, sensitive and complex situations with mature and sound judgement, tact and discretion
Demonstrated ability to work in a collaborative, team environment
Must possess a customer service oriented passion
Accuracy, thoroughness and efficiency are a must
Ability to effectively manage a busy schedule with competing priorities in a matrix reporting structure
M aintain focused attention on achieving desired outcomes while positively supporting the needs, concern and goals of others.
Excellent time management and project coordination skills with proven organizational and multi-tasking proficiency
Ability to build rapport and maintain a high level of confidence and integrity at all levels of the organization
Self-starter and strategic thinker who is able to consider interdependencies of the matrix work environment, work independently and demonstrate the ability to prioritize tasks and multi-task
Demonstrated ability to interact and use political savvy to gain credibility with all levels of staff and build relationships with internal and external contacts.
Experience working with employment standards legislation across multiple provinces an asset.
