Summary of Job: Responsible for the operation of a portfolio ofmulti-family properties; works in a team environment with propertymanagement and maintenance staff.
Supervised by: Manager of Property Management and, Leasing andCompliance
Responsibilities and Duties:
Management of Occupancy and Real Estate Function:
Directly manages WWHTs property portfolio in collaboration withcompliance and leasing, property management, and front-lineadministrative staff; coordinates unit and property-based work withMaintenance Team; collaborates with Resident Services Team (and SASH ForAll Program) in identifying and referring residents for supportiveservices; focus includes ongoing financial and budget review, propertymaintenance expenditures, curb appeal, tracking and reporting oncollections, implementing move-in and move-out activities; schedulingand conducting property inspections, documenting and following up onlease compliance matters generated through internal reporting andexternal complaints; following up on work order status, generating andsending out notices (e.g. infractions, terminations, inspections,invoices) and similar administrative duties.
Assists Compliance and Leasing and front-line staff on rental unitoccupancy, including unit showings, tenant file documentation, tenantrecertification, and move-in and move-out documentation.
Collaborates with Brattleboro Housing Partnership and VSHA asappropriate and Compliance and Leasing staff to ensure that requirementsof HUDs Section 8 program are met, including paperwork, inspections,leases, and wait list management.
Coordinates with WWHT Maintenance team on preventive maintenance items,capital needs, turnover deadlines, EMP cleanings, and special projects.
Accurately interprets and implements owner and corporate policies andprocedures, State and Local laws and ordinances; financing restrictionsand covenants; and federal regulations, including Fair HousingRegulations.
Completes and maintains the necessary required training andcertifications related to state and federal programs and any deemednecessary by the departments director.
Maintenance of Tenant Files and Occupancy Information System.
Collaborates with Compliance and Leasing staff in maintaining accurateand confidential files in accordance with WWHT policies and that of anyregulatory agency.
Ensures that WWHT maintains comprehensive and accurate systems forgathering and managing property and tenant information, data andstatistics; ensures that record-keeping is comprehensive, up-to-date andaccessible
Assists in the preparation of grant reports and other data compilations,for internal and external use as requested.
Provision of Client Service
Ensures that communications are timely and effective and that residentproblems are dealt with positively and directly, whenever possible; logscomplaints and initiates appropriate follow-up such as home visits,inspections, work orders, and the like
Maintains client confidentiality in accordance with federal, state, andWWHT standards
Utilizes sound conflict resolution skills when assisting in theresolution of resident concerns and problems in a constructive manner.
Supports tenants in addressing social and related problems by providinginformation and making timely referrals to Resident Services (SASH forAll).
Receives and processes Reasonable Accommodation requests in accordancewith Fair Housing and Federal and State guidelines
WWHT Relations and Communications
In collaboration with WWHT Resident Services Team, maintains successfulrelationships with other agencies serving the WWHT residents.
Ensures that organizational policies and procedures are appliedequitably and fairly while pr moting and being mindful of the mission tostrengthen the communities of Southeast Vermont through the developmentand stewardship of permanently affordable housing and through ongoingsupport and advocacy for its residents.
