The Investment Service's Administrative Assistant primarily assists financial advisors and clients with matters involving the servicing of client accounts and processing new business in their respective market. The candidate must prepare reports and deliver departmental communications to customers and co-workers. The Administrator must be able to adapt and work on new projects and other duties as assigned.
Responsibilities
Manage client files
Organizing client groups and accounts.
Regularly update client contact information.
Converting Dormant/UTMA accounts.
Network/Log Direct Business.
Research cost basis for securities.
Maintain an organized file management system.
Manage pending work-flow file
Organize, file and track pending documents.
Process/Log client checks and security deposits.
Follow-up with customers and companies to ensure efficiency and service standard.
Notifications
Process B/D notifications as they are posted.
Communicate with B/D service center to clarify problems.
Communicate with Advisors and clients to find efficient solutions.
Monitor other satellite offices for pending restrictions and notices.
Client Document review
Review Advisor and client paperwork to ensure accuracy and completeness.
Copy, log, mail and track paperwork daily.
Client Service
Assist clients and advisors with documents to ensure they meet B/D and investment company compliance standards.
Answer client calls, emails and other correspondences.
Work with B/D and investment companies to resolve client issues with speed, accuracy, and minimal customer impact.
Assist customers with basic tax reporting.

Qualifications
Bachelor’s degree or equivalent from a four-year college or university or at least twelve months of related experience or the equivalent combination of education and experience.
Series 6 and 63 license preferred.
