  Hunton Services, a division of the Hunton Group (www.huntongroup.com), is seeking to hire an experienced, detail oriented Office Administrator to assist in the execution and local delivery of contract administration to employees and managers. Ideal candidate must be familiar with HVAC Components and have excellent communication, customer service and computer skills. Proficiency in the use of our automated Service System, WennSoft, is a critical tool the Contracts Administrator must master. This position will report directly to the Financial Manager and is located in zip code: 77087.

  Responsibilities:

  Prepare estimates and proposals for new and renewal service agreements.

  Monitor and report on profitability of service agreements prior to renewal.

  Revise estimates and proposals as requested by Sales team.

  Track new contract and renewal proposals and update Sales team and management on status.

  Work with Sales and Service Managers to analyze and mitigate risks associated with full maintenance contracts.

  Invoice service contracts monthly.

  Explain terms and correspond to inquiries regarding contracts for customers and employees.

  Follow up on outstanding invoices and reconcile issues as they arise.

  Schedule contract turnover meetings between Sales and Operations teams.

  Prepare and disseminate reports to appropriate departments regarding contract status.

  Cancel expired contracts in WennSoft.

  Enter new and renewal contracts in WennSoft and set up tasking, revenue, and billing schedules.

  Maintain organized system of physical and digital records.

  Enter new equipment and inactivate equipment in WennSoft.

  Revise existing contracts as necessary.

  Perform other tasks as assigned.

  Skills Required :

  Excellent organizational, communication, customer service & people skills required.

  Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.

  Ability to compute rate, ratio, and percent.

  Must be proficiency in the use of Microsoft Office products; ability to utilize Excel with an emphasis on formatting and using formulas.

  Ability to multi-task and use multiple accounting software.

  Detail oriented and work effectively under pressure

  Work closely with our Sales Team and Clients.

  Education and/or Experience Required:

  High School diploma

  2 years or more of HVAC industry experience preferred

  Working knowledge of Microsoft Office products
