Job Description:The HR Services Associate acts as the first contact point for all employees, managers, applicants and external customers within the respective country. This role administers incoming queries via phone/email/portal, counsels" employees, and managers relative to HR Practices, Policies and Procedures, as well as performs transactional tasks for the purposes of HR program administration including but not limited to: Data Entry, Data Integrity, HR System support, and backup for other functions within the HR Delivery teams. Additionally, this role should have a focus on process improvement as it experiences HR customer trends to make recommendations to enhance the quality of the customer experience and knowledge management tools.Position Description (Major tasks, Value added, Contribution context, Work relations, Qualifications)
CUSTOMER SERVICE* Act as first line of support to answer inquiries submitted by phone, email, and portal from various customers (all levels of employees, managers, applicants, HR community members and others) regarding HR Practices and Procedures.* Educate customers regarding HR processes and how to use related tools & resources.* Responsible for tracking analytics of commonly asked questions and solutions for the purposes of process improvement opportunities or augmenting existing employees" communications.* Responsible for testing and maintenance of electronic inquiry environment to support migrations and/or upgrades in both WorkDay and HR Service 4 You.* Maintain accurate and efficient organizational structure in Workday and related processes through collaboration with HR professionals, managers, and stakeholders.* Collaborate with legal department on any personnel file or information needs.* Administer Company"s Educational Assistance Program and Student Loan Relief Plan* US local representative for employee journey related topics related to Global Workday Continuous Improvement effort.* Work directly with managers to ensure compliance on time sensitive compensation changes.* Serve as Employee Facing Change Champion on rollout of HR initiatives, products and processes.* Collaborated interdepartmentally on Year End planning and actions.* Develop and maintain relationships across HR Services, HR Business Partners and HR Partners in order to best serve our employee"s needs.* Address and resolve employee concerns and issues while fostering a positive workplace culture.
DATA ENTRY* Performs entry and/or validation of several fields within the HR system including but not limited to:* Compensation Fields (Base Pay, Long-Term Incentive, Grade Level updates)Identifiers and Dates (CWID, SSN, Benefits Service Date, Rehire date)* One-Time Payments (all assignment based special payments)* Job Changes (processing of promotion/demotion once position change is initiated by manager)* Step Progression (partner with HR to process employee level and salary changes for the hourly population)* Invoice Reconciliation & Submission (processing and reconciling invoices relative to H&W spend)* Fund NQ Defined Benefits Pension Monthly* Maintain external contractor records in WorkDay
DATA INTEGRITY* Performs oversight regarding HR transactions to ensure compliance to process including contacting HR and Managers as needed to complete tasks or correct data within the system.* Acts as the first line of support for managers and employees as well as HR, for Tier 1 issues and guidance within the HR system.* Responsible for reconciliation of transactions that are submitted and route for HR Delivery approval.* Ensures appropriate documentation is submitted prior to committin changes to the database.* Primary processors performing HR Master Data entry ICS Control.* Assist with HR audits.
BACKUP HR SUPPORT* Primary back up support to other HR functions as needed - recruiting/onboarding facilitation etc.* Support of applicant inquiries through the recruiting process* Provides assistance with data entry of new hires into HR system.
Qualifications:* High school diploma or equivalent with at least 4 years of work experience* Demonstrated commitment to confidentiality and ethical behavior.* Strong English language skills* Ability to interpret and explain HR programs, practices, and overall processes* Strong communication and customer service orientation* Eager to learn and flexibility in adapting quickly to a changing, process environment.* Strong Microsoft Office skills are required* Requires the ability to function on an electronic inquiry environment while simultaneously operating on various connectivity tools as defined by the IT organization* Strong interpersonal and communication skills, with the ability to build relationships at all levels of the organization.* Detail-oriented with excellent organizational and time management skills.* A proactive and adaptable attitude, with a willingness to learn and take on new responsibilities.* HR Services experience is highly preferred* Knowledge within both HRIS (WorkDay) and HR Knowledge (HR Service 4 You) systems is preferred* Role model for the Covestro C3 Values (Courageous, Curious, Colorful)
