  Job Summary and Qualifications

  POSITION SUMMARY: Responsible for the overall administration and management of the residency program in concert with the residency Program Director, including: planning, directing and managing all phases of the fiscal, personnel, administrative, recruitment, and orientation programmatic activities/functions associated with the residency program. With latitude for exercise of independent judgment and initiative, the Program Administrator will manage a wide range of programmatic issues including long range planning, project development, hiring and r, communicating with faculty and staff regarding a range of issues, managing internal and external program issues/concerns In addition, the residency administrator oversees the administration of fellowships, managing the different fellowship coordinators (if applicable).

  ESSENTIAL FUNCTIONS:

  Provides support and meets regularly with the Program Director concerning office management issues and activities and the status of projects. Identifies and evaluates the methods for improving workflow and cost effectiveness and makes recommendations for improvement. Assists in program-level policy development.

  Interprets and applies ACGME, other national accrediting agencies, and hospital policies to support compliance.

  Provides supervision and direction to program coordinators.

  Acts as a liaison between residents and hospital administration when necessary.

  Establishes positive relationships with and acts as a liaison to other Hospitals, internal departments, divisions, Corporate and external customers.

  Oversees department-level trainee orientation.

  Informs program staff of inter and intradepartmental policy and procedure changes, with assistance from GME office.

  Ensures residency program compliance with ACGME regulations including: accurate completion of ACGME WebAds, assisting the Program Director with the Annual Program Evaluation (APE) and self-study process.

  Serve as a subject matter expert and provide guidance to the coordinators in proper process/procedures in preparing for site visits.

  Oversee and participate in Clinical Competency Committee meetings and creation of residency milestones.

  Oversee and participate in Program Evaluation Committee meetings and content.

  Participate in Clinical Learning Environment Review (CLER) committee meetings.

  Represent the program in interactions with the ACGME to clarify issues related to program accreditation.

  Ensure appropriate monitoring by program staff of ACGME work hours compliance and evaluation/milestones tracking.

  Develops, monitors and reports on the training program budget. Works with the Director of GME to ensure accuracy of monthly budget statements and develops yearly residency budget. Responsible for recurring purchase orders for the residency program, processing all check requests, and paying bills associated with the program’s activities. May be responsible for management of grants awarded to individual residents.

  Manage the resident recruitment, orientation and graduation processes.

  Counsel House Staff on program policies and procedures.

  Manage facility resources – plan and implement capital purchases and redesign of space for the program.

  Collaborate with Program Director on the development and maintenance of the program manual.

  Participate in specialty related national meetings.

  Identify, supervise, and evaluate program staff including: hiring/recruitment, performance evaluation, job-related education, and paid time off (PTO). Evaluate changes in staff job responsibilities and develop requests for new positions and job reclassifications.

  Identify, oversee, and advise fellowship coordinators.

  Assist Program Director in the oversight of fellowship programs including coordinating meetings with fellowship directors, fellowship coordinators and fellows on a regular and as needed basis.

  Monitor ACGME fellows’ surveys and ACGME fellowship faculty surveys and fellowship program APEs to identify areas of concern.

  Support fellowship programs’ process improvement efforts, evaluating and responding to concerning issues identified in the annual surveys, program outcomes, and fellow and faculty feedback.

  Ensure performance of fellowship coordinators and programs, providing oversight of administrators and fellowship program outcomes.

  Advise and assist fellowship administrators in performance of their duties, including their personnel challenges, program compliance, and successful use of the residency management suite, ACGME WebAds, and program specific board requirements.

  What qualifications you will need:

  Bachelor’s Degree and 5+ years in Graduate Medical Education.

  Experience in supervision and management of personnel.

  Works within the training offices. Some travel required.

  Excellent written and verbal communication skills.

  Ability to organize information.

  Ability to handle sensitive information with absolute confidentiality.

  Working knowledge of software applications including Microsoft Word, Excel, and PowerPoint.

  Ability to make decisions independently.

  Ability to provide positive productive supervision to residents and staff.

  Ability to work in a team environment.
