Responsibilities:

Welcoming Atmosphere Creation:

Be the face of our company, creating a warm and inviting environment for visitors and callers alike.

Own the reception area, ensuring it reflects our brand identity and professionalism.

Efficient Administrative Support:

Be the backbone of our office operations, assisting with administrative tasks to keep things running smoothly.

Handle incoming calls with enthusiasm and professionalism, directing them to the right person or taking detailed messages.

Keep our office organized and well-stocked, ensuring we have everything we need to thrive.

Accounts Payable Expertise:

Dive into the exciting world of accounts payable, where you'll be responsible for processing invoices and ensuring our vendors are paid promptly.

Use your keen eye for detail to verify and reconcile purchase orders, invoices, and receipts, ensuring accuracy in every transaction.

Be the liaison between our company and our valued vendors, resolving any payment inquiries or discrepancies with finesse.

Data Management Mastery:

Take charge of our financial records, entering transactions accurately into our accounting system and maintaining meticulous records.

Stay on top of deadlines and due dates, ensuring that payments are processed in a timely manner and accounts are reconciled efficiently.

Qualifications:

High school diploma or equivalent; associate degree in accounting or related field preferred.

Previous experience in receptionist or administrative roles, with exposure to accounts payable functions.

Exceptional communication skills and a passion for delivering outstanding customer service.

Strong organizational skills and the ability to juggle multiple tasks with ease.

Proficiency in Microsoft Office applications and accounting software.

A proactive mindset and the ability to thrive in a fast-paced, ever-changing environment.

Attention to detail and a commitment to accuracy in all tasks.

Enthusiasm for learning and growing in a dynamic workplace.

Requirements

• Minimum of 3 years experience

• Proficiency in Microsoft Office Suites including Microsoft Excel, Microsoft Outlook, and Microsoft Word.

• Experience with Customer Relationship Management (CRM) software.

• Familiarity with 'About Time', 'Cash Activity', and 'Closing Processes' tools.

• Proven experience in handling customer complaints and providing appropriate solutions.

• Understanding of C-Suite level interactions.

• Experience in performing receptionist duties and managing accounts payable (AP).

• Familiarity with 10 - Key Accounting principles.

• Proficiency in data entry tasks.

• Strong customer service skills with a focus on customer satisfaction.

• Ability to multitask, prioritize and manage time effectively.

• Excellent verbal and written communication skills.

• Strong organizational skills with a problem-solving attitude.

• High level of professionalism and a positive attitude.

• Ability to work in a team-oriented environment.
