Position Summary
POSITION SUMMARY :
The Fellowships Program Manager assists the Program Directors in management and direction of Fellowship training programs. The Program Manager will continually assess, evaluate, and manage a wide range of programmatic responsibilities including long term planning, Fellow recruitment, project development, workflow review, database management, faculty and fellow communication regarding a variety of topics and issues, as well as internal and external program relations management. The Fellowships Program Manager acts as an educational liaison between the program and attending physicians, fellows and medical students, other specialty departments, outside institutions, GME office and Medical Staff office and assures program compliance with accreditation agency standards. This position currently provides support to the Cardiovascular Disease and Pulmonary Disease & Critical Care Medicine fellowship programs – totaling six fellows.
REPORTING AND SUPERVISION :
The Fellowships Program Manager is supervised by Program Manager of Education and evaluated by the Program Manager of Education and Program Directors. Additionally, there is oversight of this position by the Department of Medicine Director of Finance and Administration. The GME DIO and Director may also exercise supervision and oversight, and provide feedback and input into performance evaluations of Fellowships program manager.
PRINCIPAL DUTIES & RESPONSIBILITIES :
Essential Functions: Manage daily operational and administrative functions of the Fellowships Training Program to include the management of training activities, budget, evaluation, conferences and events, and marketing; direct recruitment efforts for the Fellowships Training Program: to include webpage information architecture, fielding candidate inquiries, ERAS application system, develop and manage interview schedules; oversee database management and online listings. Develop orientation activities and schedules for new and continuing fellows.
Minimum Qualifications
Bachelor’s Degree from a regionally accredited college or university required.
Minimum of three (3) years of related experience.
Must demonstrate well-developed assessment, evaluation and organizational skills
Must possess the ability to function independently and know when to escalate issues to achieve and maintain high levels of successful project completion
Must possess skills and abilities in:
o organizational and training development
o project and event management
o budget development and forecasting
o accreditation and compliance
Must demonstrate critical thinking, problem-solving, and independent decision-making skills
Must be detail oriented with strong multitasking abilities
Must demonstrate the ability to interact professionally and courteously with faculty, fellows, staff, students, and affiliates
Additionally, this position requires the ability to handle sensitive information with absolute confidentiality.
Requires ability to travel
Preferred Qualifications
Experience in providing high level administrative support, oversight, and managing a busy office environment
Experience in supervising others
Experience in higher education, undergraduate medical education or graduate medical education, or hospital administration
Strong technology abilities and high-level experience with web based data systems such as New Innovations, ERAs,
ACGME WebADs, GME Track and NRMP
Knowledge of ACGME , Specialty Program Requirements
Knowledge of Graduate Medical Education institutional standards
Knowledgeable or ability to quickly obtain knowledge regarding Hospital, State, and Federal related laws, rules, policies, processes and standards as related to managing the Fellowship programs.
