From benchtop research to international programs, the Department of Surgery provides exceptional patient care, delivers outstanding undergraduate and graduate education, and furthers the field of surgery through innovative basic science and clinical research.
The Division of General Surgery is seeking a Fellowship Program Coordinator to provide administrative and operational support to two ACGME Fellowship Programs: Surgical Critical Care and Complex General Surgical Oncology.
Under minimal supervision, the Fellowship Coordinator will administer, coordinate, and support the operations of the clinical fellowship programs. Tasks directly affect the development, oversight, and improvement of fellowship programs and their continued ACGME accreditation requirements; and any efforts that support the Department of Surgery’s educational mission. Program coordination includes an in-depth involvement in program events, the recruitment of future fellows, evaluations, rotation schedules, finance, conferences, publicity, and other educational activities.
Duties include:
Review and evaluate applications for completeness; compile recruitment information, distribute applications, notify applicants of decisions for interview.
Compile reports using knowledge of fellowship software. Enter rank order list, maintain fellowship matching, etc.
Maintain confidential fellowship files and monitor records of fellow attendance for all required educational activities, including conferences and other didactic experiences.
Track work hours, fellow activities and schedules; Maintain, update and distribute fellows rotation, vacation and leave schedules in electronic systems. Verify trainees’ status and activities as needed.
Monitor and document the clinical fellowship evaluation process.
Communicate regularly with fellows and faculty regarding the daily activities, such as conference and grand rounds announcements.
Provides administrative support to Program Directors including scheduling of meetings, preparations of agenda, recording and maintain meeting minutes, and development of reports.
Assist with planning departmental annual events including recruitment, orientation, graduation, faculty retreats, as well as various meetings and program-related events.
Order office supplies, complete resident reimbursements and performs other duties as assigned.

DESIRED QUALIFICATIONS:
3 to 5 years administrative experience.
Familiarity with University fellowship policies and procedures.
EDUCATION & EXPERIENCE (REQUIRED):
High school diploma and four years of administrative experience, or combination of education and relevant experience.
KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
Advanced computer skills and demonstrated experience with office software and email applications.
Demonstrated success in following through and completing projects.
Excellent organizational skills and attention to detail.
Strong verbal and written communication skills.

PHYSICAL REQUIREMENTS*:
Constantly perform desk-based computer tasks.
Frequently sitting.
Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
Rarely twist/bend/stoop/squat, kneel/crawl.

The expected pay range for this position is $33.17 to $43.75 per hour.
