  Job Type: Officer of AdministrationBargaining Unit:Regular/Temporary: RegularEnd Date if Temporary:Hours Per Week: 35Standard Work Schedule:Building:Salary Range: $65,000 - $75,000The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

  Position Summary

  The Fellowship Coordinator is responsible for the day-to-day administration of all the fellowship programs in the Department of Obstetrics & Gynecology. The coordinator reports to the Medical Education Manager.

  Responsibilities

  Fellowship Education: Manage day-to-day administrative functions for all of the fellowship programs; develops and implements new systems and revises current systems to be in compliance with fellowship governing body; maintains databases with fellow and faculty data, and manages the evaluative processes of the fellows, program, faculty and rotations; informs fellows of inter and intradepartmental policy and procedure changes, track, report, and ensure compliance with procedures regarding licensing, annual contracts, and initial and re-credentialing of fellows; provide administrative supervision and resource for fellows and act as liaison between fellows and hospital administration. Assists with the development of fellow schedules; uploads rotation schedules into Med Hub system; notifies fellows of schedules, encompassing vacations, conferences and approved leaves of absence. The incumbent will maintain the fellowship curriculum including competency-based goals and objectives for each assignment and each level of training; develops evaluation tools for the fellowship programs; monitors the evaluation process; compiles the results and files evaluations in fellows' files; schedules semi-annual reviews for each fellow with the Program Director and interim appointments as needed Fellowship Accreditation: Assists the Medical Education Manager and Vice Chair of Education with the ACGME transition process; prepares and coordinates materials and resources for the ACGME site visit reviews; works directly with the site visitor to plan the site visit schedule and to provide all documentation requested by the reviewer; monitors and ensures compliance with all of the ACGME fellowship program requirements related to duty hours, surveys, case procedure logs, etc.; prepares all of the ACGME required reports; reviews and assesses current ACGME program and institutional requirements; monitors requirements for changes; completes all ACGME-required updates on the ACGME websiteFellowship Recruitment: Creates, designs and publishes recruitment materials; manages the Electronic Residency Application System (ERAS) for all program applicants; screens candidates' files and provides files of those who meet hiring criteria to Program Director; coordinates all aspects of the interview process; schedules interview dates, corresponds with potential applicants and confirms meetings and appointments ; composes, administers and disseminates post interview and post match survey to all applicants; prepares and submits rank order list submission to the National Resident Matching Program (NRMP website) by deadline dateMedical Education: Supports the Vice Chair of Education with administrative tasks; calendar, verifications, and visiting residents rotating through Ob/Gyn divisions. Organizes, manages and attends the new fellow welcoming event, fellow retreat and senior resident/fellow graduation event; assists fellows with travel and expense reimbursement; maintains accurate records of current and past /fellows; updates program information on the Department website; assist Medical Education Manager with Sloane Olympics, QUEST, Sloane Academic Assembly, Graduation and any other special events involving the education division; special projects as requested.

  Minimum Qualifications

  Requires a bachelor's degree or equivalent in education and experience, plus three years of related experience.Excellent rapport-building skills with physicians, educators and administratorsSuperior organizational and written/oral communication skillsAbility to make decisions independently and manage timely, highly visible and sensitive mattersAbility to lead and foster teamwork and work independently with minimal supervisionAbility to multitask and prioritizeProficient computer skills, including Microsoft Office experienceMinimum 1 year experience in Medical Education Administration.Preferred Qualifications

  Experience working in a large academic centerExperience working within medical education division.
