About Facility & General Affairs Manager

  In this Role, Your Responsibilities Will Be:

  Run Building /Facility Management Agency contract and building maintenance with them.

  Partner with HR to maintain company guideline and to support employee communication meetings.

  Coordinate with IT department on all office equipment efficiently.

  Manage relationships with vendors and landlord, ensuring that all items are invoiced and paid on time.

  Lead contract and price negotiations with office vendors and office lease.

  Lead office services by ensuring operations and procedures are organized, correspondences are controlled, filing systems are crafted, supply requisitions are reviewed and approved, and that clerical functions are accurately assigned and supervised.

  Set up a historical reference by outlining procedures for protection, Record Retention, record disposal, retrieval, and staff transfers.

  Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems.

  Allocate tasks and assignments to subordinates and supervise their performance.

  Assign and supervise clerical, administrative, and secretarial responsibilities and tasks among office staff.

  Conduct review and analysis of special projects for facility and company event and keep the management properly guided.

  Lead and collaborate company events with HR team.

  Coordinate employee recognition gift for yearly/quarterly employee award program in a timely manner.

  Handle the budget for employee benefit related gift or cash voucher and provide to employees.

  Allocate available resources to enable successful task performance.

  Coordinate office staff activities to ensure maximum efficiency.

  Ensure security, integrity, and confidentiality of Office Admin related Data.

  Design and implement office policies and procedures.

  Supervise and maintain office supplies inventory accurately.

  Handle visitors’ inquiries and complaints

  Maintain a safe, secure, and welcoming work environment.

  For This Role, You Will Need:

  Confirmed Experiences in Building management and office administration.

  Knowledge of office management, systems, and procedures.

  Excellent time management skills and ability to multitask and prioritize work.

  Attention to detail and problem-solving skills.

  Proficiency in English.

  Planning skills.

  Proficient in Microsoft Office.

  Preferred in experiences of accounting, data, and administrative management.

  Knowledge of business and management principles.
