This role also supports our exceptional programming in Youth Work Practice, Diversity, Equity, Inclusion, and Access (DEIA), and Healthy Living.This person will be essential to the quality and success of these programs. The Executive Office and Administrative Specialist provides administrative support for a variety of programs, including document, correspondence and presentation preparation, financial tracking, state program registration and logistical support, event registration, and data entry. Essential Functions: Program support 40% Event registration & management for virtual, hybrid, and in-person events and experiences Serve as point of contact for events (inquiries, assisting with registration) Provide administrative support including meeting support, travel arrangements, event planning, document and supply management Create reports from registration data Other projects as requested Finance: Accounts Payable 30% Vendor Maintenance (Create new vendors and update existing) Supply and service procurement using Peopesoft Manage requisitions Create and process single payment vouchers Process and monitor employee travel and expenses Provide backup to Accounts Receivable Database Utilization and Application 25% Manage event registration and support using 4-H Online system Provide Statewide technical contact and support to 4-H Online System Prepare reports and related communications (email lists, etc.) Miscellaneous 5% Backup support for YD Weekly Newsletter Provide general administrative support for YD as assigned Other related duties as assigned Qualifications Required Qualifications: High School Diploma/GED and four (4) years of related office experience. Training/Education may be substituted for some of the years of experience. Successful experience providing exceptional customer service in-person, on the phone and, via email, etc. Proficient in Microsoft (word, excel, power point) and Google Office (docs, sheets, share drives/folders) suites, Adobe Experience with financial software such as PeopleSoft, Quickbooks, or similar Experience successfully organizing various aspects of in person events (contracts, venue selection, transportation, meals, etc.) Experience managing components of a web/online/virtual conference (Set-up, hosting, recording) Successful experience working with and communicating with people from various cultural backgrounds, including race, ethnicity, national origin, religion, socioeconomic status, age, gender, disability, sexual orientation, and other aspects of human diversity Additional Requirements: Reliable internet and professional work environment if/when working outside of assigned office location Must be able to work regularly at a dedicated/assigned office in Coffey Hall. Valid driver's li ense and own means of transportation with required liability insurance, to be utilized for travel to workshops and transporting materials and supplies to events. Personal cell phone that can be used, as needed, for work purposes. Ability to work occasional evenings or weekends with advanced notice. Working ability to perform tasks involving prolonged sitting, standing, bending, or twisting, with occasional exertion (lift, push, pull, carry) of up to thirty (30) pounds of force, and frequent repetitive motions.
