About Executive Assistant, Amazon Stores Finance, Worldwide Amazon Stores Finance (WWASF)

  Description

Worldwide Amazon Stores Finance (WWASF) organization is looking for an Executive Assistant who wants to work in a fast-paced and exciting organization which partners closely with senior professionals across Amazon. This role will evolve to continually meet the demands of a Vice President’s office, partnering with the lead Executive Assistant, and requires someone with the vision and experience to help develop recommendations that contribute to a well-run workplace.

This role requires superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism is important, as is a good sense of humor. The candidate will possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture.

Understanding basic company organization, working relationships, and business partner roles and responsibilities is important as this position will work closely with other Executive Assistants and leaders across Amazon. The candidate demonstrates grace under pressure, thrives in a team environment, builds effective working relationships inside and outside of the group, while keeping abreast of general business objectives, policies, standards, services, facilities, procedures and related information in order to maintain a comprehensive awareness of the organization.

  Key job responsibilities

  • Act as liaison for the Vice President’s direct reports

  • Organize, prioritize, and appropriately handle time-sensitive and confidential information

  • Understand business priorities and identify process improvements to create efficiency and scale for the team

  • Contribute to Finance team projects and programs

  • Proactively coordinate annual operational planning process, business planning, and performance review cycles

  • Track and help drive completion of key deliverables and follow up on outstanding items

  • Work closely with the leadership team and other Executive Assistants to provide support to the organization

  • Organize, execute, and assist with team activities including staff meeting agendas, town hall meetings, off-sites, team social events, etc.

  • Manage an Administrative Assistant, providing guidance and training

  • Ensure accurate archiving of departmental data on appropriate sites

  • Manage domestic and international travel

  • Management of complex scheduling
