POSITION SUMMARY
The Executive Assistant's key responsibilities include supporting and advising the VP, Chief Accounting Officer (CAO), Chief Audit Executive (CAE), and Senior Director, Financial, Planning & Analysis (FP&A) on projects, processes, and various business-related activities. By building collaborative relationships with internal and external groups, including global teams in the United States, Canada, Europe, APAC, and LATAM, the Executive Assistant will be the primary support on everything administrative including, but not limited to, coordinating meeting events and schedules, managing travel arrangements, managing calendars, assist with budget monitoring, and expense reporting. In addition, the Executive Assistant will prepare presentation materials for use in various meetings involving the leadership team and others within the organization.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Heavy calendar management - coordinating all aspects of the executives’ schedule, including a high volume of complex domestic and international travel arrangements; understanding the executives’ needs and working to meet those needs along with those of the global accounting, internal audit, and finance organization.
Communicate and coordinate early and clearly with other EA’s supporting the other executives, staff and external contacts, to effectively plan schedules and coordinate recurring and ad-hoc meetings
Serve as gatekeeper of the executives’ time, schedule, and information while maintaining a courteous manner. Anticipate potential schedule conflicts and proactively deal with them before they become issues. Must be able to maintain complete confidentiality regarding details of schedules and related information.
Planning and coordination of key executive and management meetings including preparation of agendas, presentations, minutes, communication with presenters, and follow-up actions
Acting as the point of contact between the executives and internal or external colleagues
Handling correspondence directed to the executives
Managing and processing monthly expense reports and purchase requisitions. Manage memberships & subscriptions for executives & team members.
Continuously work to improve processes, develop and maintain standard work, and independently implement those solutions
Working on special projects, as needed, for the accounting, internal audit, and finance organizations
Planning and organizing team events, meetings, and employee team-building activities both internally and offsite
Successfully, lead project teams and drive collaboration without authority
QUALIFICATIONS
High school diploma or equivalent required; college degree preferred
3-5 years supporting high-level executives (preferably in finance and accounting)

Excellent communication skills both verbal and written, that create a positive image of the Company and the executives.
Proficient in using the latest versions of the Suite of Microsoft applications (including Word, PowerPoint, Excel, Teams, and SharePoint; experience with OneNote is a plus), Concur Travel & Expense Report Management. Oracle ERP and/or accounting/financial experience helpful.
