About Executive Assistant

Description

The Executive Assistant will play a crucial role in managing the Executive Director's calendar, coordinating meetings, and facilitating communication between various parties. This role offers an exciting opportunity to contribute significantly to the success of the organization by providing administrative support and managing public relations efforts.

Responsibilities:

• Facilitate efficient and effective communication with tenants, staff, stakeholders, and condominium associations.

• Prepare and maintain precise documentation of meetings and produce a variety of internal and external reports.

• Manage the scheduling and coordination of the Executive Director's calendar.

• Coordinate the preparation of agendas for various meetings.

• Transcribe meeting minutes with accuracy and detail.

• Assist with public relations efforts such as the Annual Report and digital updates to the agency’s website.

• Prepare correspondence on behalf of the Executive Director.

• Manage office and maintenance supply inventories, coordinating purchases as necessary.

• Keep the agency calendar updated and well-organized.

• Maintain an efficient filing system for easy retrieval of documents.

Requirements • Proficiency in Calendar Management: The candidate should be adept at organizing, updating and maintaining executives' calendars, scheduling meetings, appointments and travel arrangements.

• Exceptional Correspondence Skills: The candidate must be capable of drafting, editing and composing correspondence such as emails, memos, and letters.

• Experience in Annual Meetings and Reports: The candidate should have prior experience in coordinating annual meetings and preparing annual reports, showcasing strong attention to detail and organizational skills.

• Expertise in Board Reporting: The candidate should have a proven track record of creating comprehensive board reports, with the ability to compile, verify, and present necessary information.

• Knowledge of Public Affairs: The candidate should possess an understanding of public affairs, capable of representing the company in various public contexts and dealing with media, government, and community relations.

• Experience in Public Company Reporting: The candidate should exhibit proficiency in public company reporting, including the ability to understand, compile and present financial and business reports.

• Understanding of Public Interest: The candidate should show a commitment to serving the public interest, ensuring company activities align with societal needs and expectations.

• Familiarity with Public Offerings: The candidate should have knowledge of public offerings, including the process of offering shares of a private corporation to the public in a new stock issuance.
