Across our portfolio of live event venues and corporate offices, we are looking for an Administrative Assistance for the F & B department at the Broward County Convention Center.
Essential duties and Responsibilities
Diligently follow up on issues in a timely manner, ensuring staff are kept informed of progress.
Ensure prompt and professional correspondence for all business matters and inquiries, exhibiting a high level of business acumen.
Prepare agendas, book meeting locations, and create various materials such as correspondences, presentations, forms, and reports.
Organize subcontractor and supplier contracts.
Manage the departmental Standard Operating Program.
Organize and maintain records in the filing system for correspondence and other documentation.
Assist in coordinating staff and other meetings, including making travel arrangements.
Manage the daily calendars and emails of RGM/AGM, scheduling meetings and appointments as required.
Take accurate notes during Executive and Management team meetings and efficiently distribute them.
Confirm appointments and screen calls for Executives/Directors before transferring; also, answer calls and take messages for the facility.
Assist in all aspects of the Facility Procurement/RFP Process.
Keep track of service agreements, notifying GM/AGM at least six (6) months prior to the cancellation date.
Order necessary supplies and materials for the facility and departments, maintaining and organizing the copy/mail room.
Receive and distribute all incoming mail throughout the facility.
Communicate with the Event Manager and RGM/AGM regarding the distribution of event tickets to clients and staff.
Assist the guest service agent with their duties and provide coverage during breaks, lunch, and as needed.
Provide administrative support to other departments as required.
Perform any other duties as assigned.
Education and/or Experience
High School Diploma or GED.
College degree, preferred.
Or equivalent combination of education and experience.
Minimum of three years’ experience supporting Senior Level / Executive Management required.
Similar experience in convention centers, hotels, and F&B facility a plus.

Computer Skills
Operate and be proficient utilizing standard office equipment and personal computer(s) using Outlook, MS Windows, Excel, Word, PowerPoint, and TEAMS.
