WITHIN YOUR TEAM
You will play a critical role in enabling the Pantone leadership to achieve business results by providing administrative and strategic support to the President of Pantone.
We are seeking an Executive Assistant with strong verbal and written communication skills, analytical skills, technical skills, ability to prioritize, attention to detail, ability to work with confidential information, and the initiative to work in a dynamic, fast-paced global environment.
Location: this is an onsite role based in Carlstadt, NJ.
WITHIN YOUR ROLE, YOU WILL:
Support the President on tasks including but not limited to:
Calendar Management
Manage detailed and demanding global schedule, Outlook Calendar, including communication and meeting preparation
Monitor all incoming e-mails for action items and to ensure timely response as required
Monitor status of key deliverables; establish, manage, and adhere to action plans with President to meet deadlines
Maintain company email groups and lists to ensure email and invites are sent to the right recipients
Collaborate and coordinate calendars with other support staff within the Company as well as with other operating companies and at the parent company, Veralto
Meeting Preparation
Coordinate in-house and off-site meetings for small and large groups (including agenda, accommodations, transportation, catering)
Organize conference calls (setup MS Teams & reminders)
Ability to participate in global leadership meetings, take actions items, and manage appropriate follow-up from meetings
Support planning and logistics of critical corporate meetings, such as Monthly Operating, Strategy, & Talent Reviews
Organize and manage regular company all-hands and townhall meetings. Prepare agenda, invite attendees, identify and prepare speakers, and support preparation and presentation of the materials
Coordinate (with President direction) all customer and partner on-site visits, special guests, and external candidates
Travel and Expense Management
Coordinate extensive domestic and international travel, handling all details pertaining to reservations and itineraries
Preparing expense reports to corporate policy, processing invoices, and reconcile budget; processing and tracking purchase orders
Review and approve team member expense reports on behalf of the President
Office Management
Provide on-site general office administration support at the Pantone Headquarters in Carlstadt, NJ
Coordinate in-office company engagement events
Other Responsibilities
Create standard work and processes that can be easily followed by others who can provide coverage during time off
Assistant as needed to President staff when rush/special/confidential assignments/tasks arise
Using Excel, PowerPoint, and other corp. systems to prepare reports and presentations
PROFESSIONAL EXPERIENCE/QUALIFICATIONS
Bachelor’s degree in Business or related degree
5+ years of experience in an administrative role or in a business environment
Problem Solver: Track record of ‘investigation mindset’ digging into details to find root cause with ability to resolve and implement countermeasures
Strong technical skills with proficiency in Word, Excel, PowerPoint, Outlook, in addition ability to trouble-shoot technical issues
Ability to independently create documents from notes/input from various sources
Previous International experience/exposure; speaking a foreign language is a plus.
Self-motivated and ability to respond to changing situations in a flexible manner to meet current needs and re-prioritize work as necessary
Strong attention to detail and the ability to meet deadlines
Collaborative and strong team player
Strong verbal and written communication skills with the ability to compose formal communications from President to entire Operating Company
Ability to maintain the integrity of confidential information
Friendly and positive can-do attitude
Highly organized
Open to provide honest two-way feedback in effort to build trust and strengthen communications with the President and other colleagues

The salary range for this role is $65,000-$85,000. This is the range that we in good faith believe is the range of possible compensation for this role at the time of this posting. We may ultimately pay more or less than the posted range. This range may be modified in the future.
This job is also eligible for bonus/incentive pay.
