This Executive Assistant position provides high-level administrative support within our HR function to ensure the accomplishment of Inspire enterprise goals and objectives. They are responsible for calendar management, preparing reports, coordinating meetings, handling information requests, scheduling travel, supporting projects, and performing clerical functions including preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
This position sits within our Atlanta, GA-based Global Support Center with an expectation to be in office 80% of the time. This position provides administrative support to multiple Human Resources VPs.
RESPONSIBILITIES
Administrative support to the VP’s of Talent Acquisition, Human Resources, Talent Experience & Operations and Transformation
Manage calendars: Coordinator appointments, conference calls, meetings, and holidays. Send timely reminders to ensure preparedness for upcoming meetings.
Coordinate travel logistics: Arrange travel, lodging, ground transportation
Occasionally, and as needed, coordinate and prepare meeting spaces
Arrange recurring meetings with direct reports, team town halls, monthly staff meetings, and skip-level team member discussions.
Facilitate information for meetings/projects by composing, editing and proofreading presentations and other documents
Assist with certain continuous and ad hoc projects and special duties for the VP’s and their teams:
Director level engagement
Team-wide development activities
External engagements and communications
Assist in financial management and reconciliation of departmental financials, including timely processing of accounts payable and invoice processing
Work cooperatively with the company executive administrative team, in positive partnership to back up each other smoothly along with helping with shared office management responsibilities
EDUCATION & EXPERIENCE QUALIFICATIONS
Minimum requirements include an Associate’s Degree or equivalent experience. Bachelor's degree preferred
Minimum of 4 years' experience in an executive-level support role is required
REQUIRED KNOWLEDGE, SKILLS or ABILITIES
• Excellent typing and computer skills, including high proficiency with Microsoft Office – Outlook, Word, Excel, PowerPoint
• Ability to successfully manage multiple priorities in a fast-paced work environment
• Excellent time management and high attention to detail
• Very detail-oriented and excellent organizational skills. Strictest confidentiality in dealing with sensitive and confidential information
