Robert Half is looking to hire a professional, highly skilled Executive Assistant to maintain various administrative duties for executive management in a dynamic company. You will have the opportunity to put your talents to the test in a challenging and friendly environment. This Executive Assistant opportunity is located in the Indianapolis, Indiana area and is a long-term contract / temporary to hire employment role. This role is a hybrid role that the selected candidate would be in the office two days a week and three days from home.
Responsibilities
Executive Support
• Assists the President with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
• Communicates with the general staff on the President’s behalf and coordinates logistics with high-level meetings both internally and externally. Coordinates meetings and strategic activities with the ET, and members of staff. (See Management Support.)
• Communicates clearly, honestly, accurately, and directly on behalf of the President with Board members, donors, foundation staff, and others on matters related to programmatic initiatives as directed. (See Board Support.)
• Conducts research on prospective corporate and foundation donors to identify and evaluate current needs and assembles materials needed for the proposals.
• Drafts reports, letters of solicitation, proposals; prepares and coordinates oral and written communication with donors and prospects.
• Supports President in his/her external commitments related to organization, including service on external boards, committees, and other groups.
• Processes memberships with other organizations.
HR Support
• Administratively supports HR document processing (recruiting support, documents formatting, surveys set up and other administrative tasks)
• Drafts emails and other CCA correspondence as directed.
• Successfully partners with organization’s Human Resources partner and/or other key partners to support HR processing for talent recruitment, on-boarding, talent retention, and offboarding.
Board Support and Liaison
• Serves as the President’s administrative liaison to the Board of Directors and manages Board activities, which include coordinating quarterly Board meetings and dinners (as appropriate); Board staff lunches/receptions/new Board member orientations (as they occur); arranging hotel accommodations for out-of-town Board members; processing travel reimbursement requests; and compiling, assembling, and distributing Board meeting materials (in consultation with Board Secretary).
• Research potential Board members on behalf of the President, for presentation the Governance Committee.
• Coordinates Executive, Finance & Audit, Governance, Executive Compensation and Strategic Planning meetings, maintains confidential files and contact information; coordinates meetings, conferences, and committees both on and off site to support the President’s agenda.
• Maintains Board document/communications portal in support of Board Secretary
Requirements - Excellent organizational skills, ability to multitask, an eye for detail and previous project management experience
Proven ability to use the internet for research
