Job Summary and Qualifications
Provide administrative support to CEO and executive team and responsible for management oversight of Communications Dept to include Patient Safety Screeners (screeners) and Guest Relations Specialists (switchboard). Responsible for daily tasks which might involve coordinating communication and correspondence with physicians, colleagues, MEC, Board of Trustees and the public; serve as backup for other department clerical functions. Other responsibilities include, but are not limited to, scheduling appointments, coordinating special functions, conferences and meetings, including submitting travel requests and expenses.
Job Duties and Responsibilities: Executive Assistant
Reports to CEO/COO and assists other members of the executive team as well.
Prepares variety of documents and communications in professional and timely manner.
Manages meeting agendas, materials and invitations as directed. Records minutes, and completes communications as assigned.
Schedules and verifies calendars for CEO/COO, and others as requested.
General office duties as required to maintain smooth operations of Administrative suite, including financial and payroll documents.
Super User for: Compliance 360, Kronos time editor, Meeting Room Manager
Management oversight for Communications Department to provide professional business operations and positive Public and Patient experience.
Works with CFO/COO to determine appropriate staffing levels, maintains staff budget in FPC, works with Talent Acquisition to fill vacancies.
Manages staffing function to include interviews, selection, training, orientation, scheduling and performance management of Patient Safety Screeners and Guest Relations Specialists.
Maintains technical skills to perform departmental tasks as needed and provide training to new hires in technical and behavioral expectations.
