  POSITION DESCRIPTION

  Position Title: Executive Administrative Assistant

  Department: Administration

  Reports To: General Manager or Regional CEO

  Classification: Full-time, Exempt

  Compensation: Salary up to $65,000.00

  Position Summary: Responsible for the performance of delegated administrative details along with screening calls, visitors, and mail; answering and disposing of requests for information; public relations activities, which may include daily contact with the City Council, other executives, department heads, and the public.

  Essential Functions:

  • Produces event identification copy for monitors and reader boards.• Clips and maintains a library of newspaper articles.• Handles petty cash accounts including distribution and reconciliation.• Schedules meetings and appointments for General Manager.• Collates and distributes monthly and semi-monthly reports prepared by others.• Prepares monthly receptionist relief schedule and relieves receptionist for lunch and breaks.• Serves as Acting Passkey Housing Coordinator during the Coordinator’s leave of absence.• Prepares and distributes quarterly Ezine newsletter.• Maintains and updates organizational charts.• Arranges air transportation, hotel, and cars for staff upon request.• Responsible for maintenance and service agreements for Ricoh copiers.

  Experience/Training/Education:

  Required: High School Diploma or GED Four years of increasingly responsible clerical experience.

  Desirable: Courses in secretarial science.

  License/Certificate:

  Valid California Driver License

  Knowledge/Abilities/Skills:

  Knowledge of:Secretarial practices and procedures.OCC office policies and procedures.Business English and Math.

  Ability to:Communicate effectively and efficiently both verbally and in writing.Be detail-oriented.Work independently, with little or no supervision.

  Skill to:Operate modern office equipment, including computer, fax, phone, and copy machine, as well as the following software: Microsoft Word, Excel, Power Point, Adobe PageMaker, and E-mail.Type 60 words per minute.Operate a motor vehicle.

  Physical and Environmental Requirements:

  This position requires sitting at the computer for prolonged periods of time; occasionally, some stooping, bending, and lifting may be required.
