What’s the job?
As an Engineering Coordinator, you will assist the Director of Engineering and Engineering Manager with all administration/ secretarial works and all kind of reports making.
Your-day-to-day
People
Deliver Crowne Plaza Brand Promise and Service Signatures to daily work.
Observing hotel rules and regulations.
Taking good care of all tools /materials/ machines using for work.
Assisting his fellow workers if necessary and possible.
Keeping secret all information related to the company.
Taking care all kind of correspondences in the department (writing letters, faxes, memo, e-mail...).
Making weekly, monthly reports (energy consumption reports and other calculation reports).
Placing roster / scheduling time attendants and making attendant reports for all staff for salary calculation purpose.
Monitoring all kind of leaves for all engineering staff (annual leaves, sick leave…etc…).
Keeping stock of stationery needed for the department use.
Contacting hotel guests, outside contractors, other guests of Chief Engineer/Director of Engineering (over phone calls or in person) for work order requests resolving and materials / services that suppliers / outside contractors supplied to the department.
Daily attending all kind of administration works (dealing with correspondences, monthly and weekly reports, attendant reports, leaves monitoring and phone calls…) in the department office.
Be responsible in keeping our property safe and secure, to participate in any hotel activity related to Fire Life safety.
Always present genuine smiling face, friendly and offering assistance to guests.
Look smart – wear your uniform with pride.
Perform other ad-hoc duties - unexpected moments which may be assigned by management when we have to pull together to get a task done.
Assist the DOE in obtaining government regulatory permits (environmental permit, water, mechanical and electrical equipment)
Assist DOE in regular inspection, make reports and follow ups.
Issues or obtain necessary permit prior to contractor’s start of work (e.g. hot work permit, access permit, fire isolation pernmit etc)
Carry out basic contractor’s induction prior to start of their work
Keep up to date and aware of contractor’s status of work and workmanship are within IHG standard.
Obtain contractor’s service report, sign and keep on file.
Financial
Completes minor work orders such as replacing ceiling tiles, filters, light bulbs, patching vinyl, painting, repairs to pipe lines, toilets, sinks, kitchen and laundry equipment, etc.
Performs preventative maintenance duties as assigned.
Ensures that assigned equipment is prepared and operational for the following day’s work.
Monitors efficiency of equipment and electrical systems such as air conditioning controls, guest entrance/access doors, television sets, lighting systems and makes minor repairs and/or replacements to ensure proper operation and maximum efficiency.
Refurbishes furniture and fixtures within guest rooms such as cabinets, tables, chairs, doors, windows and counters.
Paints and finishes furniture and fixtures in guest rooms, as needed.
Maintains front entrance area, parking lot and/or garage, and street entrance in a clean and presentable manner.
Follow procedures that ensure the security of inventory such as tools, supplies, equipment, etc., replenishes supplies and inventory in a timely and efficient manner, and minimizes waste.
Work closely with Finance Department for invoice processing.
Assist the DOE in raising purchase requisition for minor works.
Assist the DOE for aquiring quotations from suppliers and contractors.
Assist the DOE in product and services deliveries/implementation and make sure purchase orders are available before work is implemented and supplies are delivered.
Assist other POM staff as necessary.
Guest Experience
Responds promptly and efficiently to guests’ requests.
Responds to guest complaints and ensures corrective action is taken promptly to achieve complete guest satisfaction.
Respond in a courteous and prompt manner to all guest questions and/or requests to ensure strong guest satisfaction.
Responsible Business
Ensures a safe and secure environment. Mitigate risk exposure to guests, colleagues, assets, etc. by promptly reporting and addressing any unsafe conditions or repairs needed.
Be familiar with emergency response plans and be able to execute accordingly.
Assist with other functions of the maintenance department.
Perform other duties as assigned.
Support Green Engage initiatives in the property.
What we need from you
Education - Associate’s degree/higher education, qualification/equivalent in Admistration or related Engineering field.
Service years - At least two years of experience in Coordinator/Administrative postion
Knowledge and skills
Execellent skils in MS Office.
Good communication and management skills.
Ability to solve problem.
Language - Fluent in English (speaking, listening, reading and writing)
Preferred (if required)
Occasionally carrying, lifting, pushing and/or pulling items weighing up to 100 pounds.
Regularly pushing, carrying or lifting items weighing up to 75 pounds.
Frequently standing up and moving about the facility.
Frequently handling objects, power tools and equipment to maintain the facility.
Frequently bending, stooping, kneeling.
