Position Overview: The Transcription Scheduling Manager (TSM) is primarily responsible for managing the overall workflow in the Allegis transcription management system (VoiceWare) by monitoring real-time service levels and adherence to deadlines. The TSM oversees the external transcription team's production and adherence to workflow protocol, ensuring standards for productivity, timeliness, and quality are met. This is done by managing performance expectations and results while maintaining heightened level of engagement that exemplifies Allegis/Veritext standards and culture.
Accountabilities:
Uphold established Allegis production standards throughout functionality and documentation.
Ensure that SLA/production expectations are met to deliver product within turnaround deadlines.
Consistent representation of Allegis IC talent brand as highly engaged, knowledgeable and personable.
Essential Job Responsibilities:
Analysis of department improvement needs and opportunities.
Develop, plan, and implement initiatives to meet short- and long-range goals.
Contribute information, perspective, and recommendations to strategic plans and reviews.
Manage transcription production environment ensuring that service levels and deadlines are met.
Act as primary director managing department workflow of transcriptionists and support team.
Effectively communicate and document department procedures and policies.
Collaborate and communicate with other department managers regarding changes, strategies, and challenges in order to best meet company strategies and goals.
Foster a cooperative and inclusive environment within and across teams.
Carry out managerial responsibilities in accordance with Allegis’/Veritext’s policies and procedures.
Uphold the Allegis talent brand of engagement in all actions and communications.
Manage all aspects of the VoiceWare system.
Track, report and analyze workflow volumes and various crucial business data.
Understand and correctly utilize resources provided by internal systems, departments, policies and procedures.
Serve as backup to Customer Service.
Oversee and direct transcription scheduling team.
Job Qualifications: Education, Training and Experience:
Team management/supervisory experience: 3+ years
Minimum Education: AA Degree or equivalent
Microsoft Office Suite experience at an advanced level
Keyboarding at 60+ wpm
Workflow management experience
Experience providing performance feedback
Experience tracking and reporting performance metrics
Experience documenting and communicating processes and procedures
Proven ability to multi-task as well as manage time and workflow independently and effectively
Dynamic, energetic, and determined to achieve goals and objectives is paramount
Excellent grammar, spelling, and punctuation skills
Excellent verbal and written communication skills
Self-motivated, detail-oriented, and organized
Experience adapting well to changing circumstances, direction and strategy
